Job Overview:

Responsible for supporting Export Sales, Export Documentation, and Claims operations by coordinating, reviewing, and processing documentation required for international shipments and customer clearance. This role manages the full invoicing cycle, ensures accurate pricing, and collaborates with internal teams, packinghouses, and freight partners to resolve discrepancies and maintain compliance. Additionally, the position provides claims support by assisting with the review, documentation, and processing of export and domestic claims to facilitate timely and fair customer resolution

Essential Job functions/ Duties:

 

  • Manage export documentation for assigned countries and customers, ensuring accuracy, completeness, and timely submission to support smooth customs clearance.
  • Review and validate shipment documentation, including phytosanitary certificates, invoices, and sea waybills, ensuring compliance and accuracy prior to distribution to customers.
  • Coordinate with packinghouses and freight forwarders to review and resolve discrepancies in phytosanitary certificates, sea waybills, and related shipment documents.
  • Verify and maintain accurate pricing, including: validating invoice pricing against the weekly Export Sales scale, coordinating with Sales Operations (SOS) to ensure correct FOB and CNF values in Prophet, and requesting corrections when discrepancies are identified.
  • Coordinate financial and shipping documentation flow, including submitting rated seaway bills to Finance for timely payment and preventing cargo release delays.
  • Support claims and pricing adjustments, including: preparing and processing credit notes related to invoice corrections, researching and resolving pricing discrepancies and customer chargebacks in collaboration with Finance.

Provide claims related support and customer service, including:

  1. responding to inquiries regarding claims and the Sunkist Claims Policy
  2. Following up with customers to obtain required claim documentation entering Notices of Intent to Claim in Prophet
  1. Escalating customer or shipper disputes through appropriate channels.
  • Distribute completed document packages to customers electronically once all required documentation is finalized.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.


 

Minimum Qualifications (Education, Certifications/Licenses, and Experience:

  • Four years’ experience in export documentation, logistics, or related fields.
  • Preferred four-year bachelor’s degree.
  • Minimum High School Diploma. 
  • Ability to be organized and accurate when documenting export and claims activities.
  • Ability to perform basic math, including calculations using fractions, percent’s and/or ratios.
  • Possesses strong computer skills: must be proficient in MS Office including Word, Excel and Outlook; ability to operate standard office equipment.
  • Ability to spot errors on documents/reports in system and/or on computer screen.
  • Possesses excellent interpersonal, teamwork and communications skills, including ability to effectively communicate with internal and external customers.
  • Ability to review standard quantity of cartons on a boat or order, types of commodities, sea waybills and to compare documents from a freight forwarder to an existing order.
  • Ability to read/decipher system reports and other documents with very small print.
