JOB SUMMARY
An OTV/Shipping Coordinator is a logistics professional responsible for managing outbound shipments and coordinating OTV (Order to Vendor) processes, including disposition of DMR’s (Discrepant Material Reports) in a fast-paced environment. This role oversees the end-to-end shipping process, including the return of materials to suppliers, coordination of inbound and outbound logistics, and support of customer shipments. Working under limited supervision, the OTV/Shipping Coordinator ensures accurate and timely processing of OTV transactions, DMR resolutions, and shipping activities while maintaining compliance with company policies and customer requirements.
ESSENTIAL FUNCTIONS and EXPECTATIONS
- Demonstrate proficiency in using the ERP system to complete the shipping/OTV process
- Create a sub-contractor/miscellaneous packing slip to vendors
- Verifying purchase orders with planners/buyers to ensure on-time, accurate delivery
- Move DMR material following disposition closing
- Maintain accurate shipping records and filing systems
- Generate and distribute basic reports as required
- Coordinate shipments with carriers, including freight companies and couriers
- Resolve shipping issues such as delays, damage, or incorrect shipments.
- Pull and verify parts for serial number validation when required
- Inspect outgoing shipments for accuracy and check for any visual damage to the product
- Maintain shipping records and update internal systems
- Provide coverage and support for other Shipping Clerks and work overtime as needed.
- Maintain a clean, organized, and safe work environment by following 6S standards and adhering to all company policies, including safety and attendance requirements.
- Communicate and coordinate effectively with vendors to support shipping, purchasing, and delivery requirements.
- Collaborate with internal departments, including Planning, Purchasing, Quality, and Operations, to ensure efficient material flow and shipment execution.
- Perform other duties and responsibilities as assigned by management.
MINIMUM QUALIFICATIONS
- High school diploma or GED required
- Minimum 2 years of experience in shipping/logistics or related field
- Knowledge of customs documentation, shipping regulations, and trade compliance
- Proficient in Microsoft Office, including Outlook, Excel, and Word.
- Self-motivated with the ability to work independently and effectively in a fast-paced environment.
- Must possess strong communication, organizational, and problem-solving skills, with a high level of attention to detail.
- Experience working with ERP systems and shipping software preferred.
REQUIRED SKILLS
- Ability to read, write, and maintain accurate records
- Ability to perform arithmetic calculations (Including addition, subtraction, multiplication, and division)
- Proficiency in operating computers, printers, scanners, and other standard office equipment
- Strong interpersonal skills with the ability to communicate effectively with vendors, carriers, customers, and internal departments.
- Ability to identify and resolve routine shipping and logistics issues with minimal supervision.
- Strong attention to detail and commitment to accuracy in data entry, shipping documentation, and inventory transactions
PHYSICAL REQUIREMENTS
Lifting up to 50 lbs regularly and 75 lbs occasionally, pulling, standing for long periods of time, manual dexterity, visual acuity, and typing.
