Job Title: Shipping & Receiving Coordinator (Customer Communication Focus)
Position Summary
The Shipping & Receiving Coordinator is responsible for managing all inbound and outbound shipments within a fast-paced machine shop environment. This role also serves as a key communication link between the shop floor, customer service representative (CSR), and customers to ensure accurate, timely, and transparent order fulfillment. The ideal candidate is highly organized, detail-oriented, and proactive in coordinating order status and logistics updates.
Key Responsibilities
Shipping & Receiving Operations
- Prepare, package, and ship finished goods according to customer specifications and company standards
- Receive incoming materials, inspect for accuracy and damage, and coordinate with purchasing/production teams
- Maintain accurate records of shipments, receiving logs, and inventory movements
- Operate forklifts, pallet jacks, and other material handling equipment safely (if applicable)
- Coordinate with carriers to schedule pickups and resolve shipping issues
Coordination & Scheduling
- Prioritize shipment schedules based on production timelines and customer requirements
- Work closely with production supervisors to ensure orders are completed and ready for shipment
- Track order progress and proactively identify delays or issues
- Assist in coordinating expedited orders and special delivery requirements
Customer Service Collaboration
- Partner directly with the Customer Service Representative (CSR) to ensure accurate order communication
- Provide real-time updates on order status, shipping schedules, and delays
- Help clarify customer requirements such as packaging, labeling, and delivery expectations
- Support resolution of customer concerns related to shipping, shortages, or delivery discrepancies
Customer Communication
- Communicate shipment confirmations, tracking details, and delivery updates to customers when needed
- Assist in maintaining clear and professional communication for order-related inquiries
- Ensure customer expectations are aligned with production and shipping timelines
Documentation & Compliance
- Prepare shipping documents including packing slips, bills of lading, and certificates (as needed)
- Ensure compliance with company procedures, customer requirements, and safety standards
- Maintain organized records for traceability and audits
Qualifications
- High school diploma or equivalent required
- 2+ years of experience in shipping/receiving, logistics, or manufacturing preferred
- Experience in a machine shop or metal fabrication environment is a strong plus
- Familiarity with ERP/MRP systems and shipping software preferred
- Forklift certification (or willingness to obtain)
