Shipping & Logistics Coordinator
Position Summary
The Shipping & Logistics Coordinator is responsible for supporting the daily shipping and logistics operations of the organization by coordinating shipment tracking, preparing and distributing shipping reports, maintaining accurate shipping documentation, and assisting Project Managers with logistics-related information. This position serves as a key point of contact for shipment visibility and helps ensure timely communication regarding inbound and outbound shipments. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining accuracy. This role requires strong analytical and communication skills, proficiency with shipping software and Microsoft Excel, and the ability to work collaboratively across departments.
Essential Duties and Responsibilities
- Generate daily shipping reports from FedEx, UPS, and other shipping platforms as required.
- Review shipping reports for completeness and accuracy before distributing them to Project Managers and other stakeholders.
- Organize and maintain shipping records, tracking information, and logistics documentation in an efficient and accessible manner.
- Monitor shipment status and proactively track deliveries to identify delays, exceptions, or potential issues.
- Communicate shipment updates to Project Managers, internal departments, customers, and carriers when appropriate.
- Research and resolve shipping discrepancies, delivery exceptions, and tracking issues by working directly with shipping carriers.
- Prepare shipping cost estimates by comparing carrier services, delivery options, transit times, and freight costs to support project planning and budgeting.
- Coordinate with warehouse, production, purchasing, and project management teams to ensure shipments are scheduled and processed according to project timelines.
- Verify shipping documentation, including labels, packing lists, bills of lading, and carrier paperwork.
- Assist in scheduling outbound shipments and coordinating carrier pickups.
- Maintain shipping logs and performance metrics to support reporting and continuous process improvement.
- Identify opportunities to improve shipping processes, reporting methods, and overall logistics efficiency.
- Provide general administrative support for the logistics and operations teams.
- Perform additional duties and special projects as assigned.
Qualifications Required
- High school diploma or equivalent; associate degree in business, logistics, or a related field is a plus.
- 2+ years of experience in shipping, logistics, transportation, customer service, or administrative support.
- Experience using FedEx Ship Manager, UPS WorldShip, or similar carrier shipping platforms.
- Intermediate to advanced proficiency in Microsoft Excel, including sorting, filtering, creating reports, and working with formulas.
- Strong computer skills and proficiency with Microsoft Office applications.
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize multiple assignments while meeting deadlines.
- Ability to work independently with minimal supervision while contributing effectively within a team environment.
Preferred Qualifications
- Experience supporting project-based operations or manufacturing environments.
- Knowledge of freight shipping, LTL, parcel shipping, and carrier service options.
- Experience working with ERP or inventory management systems.
- Familiarity with shipping cost analysis and freight optimization.
