POSITION SUMMARY  

The Service Coordinator supports the Fleet Services team by overseeing service schedules and repair orders for semi trucks, trailers, and agricultural equipment. This role also serves as a backup resource to support light-duty fleet service needs when needed. This position updates customer accounts, coordinates parts and service needs, tracks work progress, and handles payment processes. In addition, this position ensures customer needs are met while helping create a smooth, accurate, and positive service experience for internal and retail customers.

KEY RESPONSIBILITES

  • Interact professionally with customers in person, by phone, and via email to understand service needs for semi-trucks, trailers, and agriculture equipment and provide appropriate solutions.
  • Ensure service appointments are scheduled correctly, factoring in customer needs, equipment availability, shop capacity, and required parts for semi-trucks, trailers, and agriculture equipment.
  • Serve as a backup resource for light-duty fleet service support, including scheduling, repair order coordination, service communication, and work order updates as needed.
  • Track repair orders, inspections, preventive maintenance, and service progress, ensuring timely updates and completion.
  • Maintain organized and accurate records for inventory, services, equipment history, warranties, and customer accounts.
  • Address customer inquiries quickly, providing clear information about diagnostics, repair timelines, service recommendations, parts availability, and completed work.
  • Oversee the full-service process, including appointment scheduling, repair order creation, work order updates, monitoring progress, calculating labor and parts charges, and processing payments.
  • Managing all aspects of financial record keeping and ensuring accuracy in financial statements, including maintaining assembly sheets, daily reports, account transfers and billing. 
  • Serve as a liaison between customers and other departments, ensuring smooth communication and service flow.
  • Train Fleet and Innovation Services staff on CMMS/Operation Software, ensuring we stay up to date with all updates and provide ongoing training at various locations.
  • Order tires, parts, fluids, attachments, and merchandise for scheduled work orders, supporting both internal fleet needs and retail customer service work.
  • Build and maintain strong relationships with vendor representatives.
  • Up to 30% travel may be required for this position.
  • Adheres to all safety regulations, requirements, policies and procedures, including OSHA regulations, the vehicle policy, fleet safety program, DOT regulations, and applicable equipment inspection requirements.

REQUIRED QUALIFICATIONS

  • Diploma/GED or one (1) or more years of experience and/or training; or equivalent combination of education and experience. 
  • Must be eligible to work in the United States without visa sponsorship. 
  • Must be 18 years or older.
  • English proficiency. 
  • Valid Driver's License. 
  • Ability to work overtime including weekends, holidays, or different shifts.
