Position Summary

The Sales Project Coordinator serves as the primary project coordinator for assigned ambulance and remount orders, owning each order through its full lifecycle — from initial entry and specification review through production handoff and final delivery of a completed unit built exactly as specified. This role is responsible for ensuring every work order is complete, accurate, and fully detailed before a unit enters the build process, and carries full ownership of both new unit and remount orders within their assigned portfolio. The position requires close, ongoing communication with Key Account Managers to resolve questions and address issues as they arise, as well as coordination across internal teams to keep the process moving efficiently. Experience with Quote Writer is a plus; candidates without it can develop proficiency on the job.

Key Responsibilities

  • Create written, visual, photographic, and video content for social media, websites, marketing campaigns, dealer communications, and promotional initiatives.
  • Execute digital marketing initiatives including social media management, website content administration, SEO implementation, and advertising campaigns.
  • Analyze marketing and campaign performance data and provide recommendations to improve engagement, website traffic, lead generation, and overall marketing effectiveness.
  • Support email marketing, CRM initiatives, dealer communications, and marketing reporting efforts.
  • Coordinate marketing projects and campaigns from concept through execution while meeting deadlines and quality standards.
  • Collaborate with internal teams, dealers, vendors, and external partners to support marketing objectives.
  • Assist with trade shows, events, and dealer meeting planning and execution.
  • Contribute ideas, recommendations, and creative solutions that help improve marketing effectiveness and audience engagement.

Order Management

  • Serve as the secondary point of contact for dealers throughout the order process, from initial entry through delivery, ensuring all order details and specifications are correct.
  • Review orders in detail using Quote Writer to verify accuracy of product specifications, custom options, and all relevant details for production.
  • Proactively identify, escalate, and resolve discrepancies or gaps in order details by partnering cross-functionally with Engineering, Production, and Materials; exercise sound judgment and ownership to drive decisions through to resolution and ensure alignment prior to production.
  • Produces accurate and honest pricing while consistently demonstrating ethical decision-making, integrity, and accountability in managing each order in the best interest of both Lifeline and the dealer

Communication

  • Maintain regular communication with the assigned Key Account Manager to better serve dealers and their customers.
  • Provide dealers with timely updates on order status and address work order-specific questions or concerns that arise during the production process.
  • Act as the liaison between internal teams — including Production, Engineering, and Sales — ensuring all parties are aligned on order specifications, timelines, and any changes or challenges.
  • Lead pre-production meetings to finalize details with internal teams and ensure all stakeholders are prepared for the order to move forward.

Project Coordination 

  • Act as the project coordinator for each assigned order, coordinating between Key Account Managers, dealers, production, and other internal departments to ensure timely and accurate execution.
  • Work closely with Engineering to verify custom items and confirm all options are viable within project scope and production capabilities.
  • Monitor production timelines and ensure the Key Account Manager is informed of any changes or delays that may impact delivery.

Remount Order Management

  • Own assigned remount orders through the full order lifecycle, from intake and specification documentation through coordination with Production and final delivery.
  • Capture and verify all remount-specific details at the point of order entry, including chassis information, equipment transfer requirements, customer specifications, and any unique configuration needs.
  • Coordinate with dealers, Key Account Managers, Engineering, and Production to ensure remount orders are fully documented and production-ready before entering the build process.
  • Monitor remount production timelines, communicate status updates to the assigned KAM, and proactively flag any changes or delays that may affect delivery.
  • Apply the same Pre-Build and Build Meeting standards to remount orders as to new unit orders, ensuring all stakeholders are aligned before production begins.

Dealer Support

  • Assist dealers with questions regarding Quote Writer, chassis requirements, and other order and product details.
  • Support dealers with pricing, bids, and special options using Quote Writer as needed for potential or ongoing orders.

Collaboration 

  • Work with production personnel to ensure each order is properly communicated and set up for success on the floor.
  • Partner with internal teams to address production-related issues that arise during the manufacturing process.
  • Assist Key Account Managers with customer deliveries as needed, ensuring the final product meets all specifications and is delivered on time.

Other Duties

  • Adhere to all safety policies and procedures.
  • Support cost reduction goals and contribute to efficiency improvements where possible.
  • Perform additional duties as assigned by management.

Skills and Qualifications

  • Proficiency with Quote Writer to manage order inputs, updates, and adjustments (or ability to develop proficiency on the job).
  • Strong organizational skills with keen attention to detail.
  • Ability to act with integrity and exercise independent decision-making in the best interests of both Life Line and our dealers.
  • Excellent communication skills, with the ability to handle both internal and external customers effectively through phone, email, and face-to-face interactions.
  • Ability to read and interpret work orders and technical specifications.
  • Problem-solving skills and the ability to make decisions under pressure.
  • Experience with project management or serving in a liaison capacity is preferred.
  • Knowledge of Life Line products and chassis options is a plus.
  • Must be a self-starter with strong work discipline and time-management skills.

Education Qualifications

  • High school diploma required; college degree in a related field or equivalent experience preferred.
  • Experience in sales, customer service, or project management, preferably in a manufacturing or technical setting.

Contingencies of Employment

  • Successful completion of a background check, pre-employment drug screen and physical examination 
  • Successful completion of a Motor Vehicle Record (MVR) check, if applicable to the position
