About Naumann Hobbs

We're looking for a detail-oriented project coordinator to own the planning and execution of complex Material Handling Systems (MHS) projects from sale through final inspection — keeping vendors, timelines, and customers aligned every step of the way.
About the Role
This role sits at the intersection of sales coordination and project management. You'll coordinate across three core areas — Material Handling Systems (MHS) projects, new equipment sales, and battery order fulfillment — managing vendors, permits, installers, and customer communications to ensure every project lands on time and on budget.
What You'll Do
Material Handling Systems Project Coordination
- Orchestrate the full lifecycle of warehouse racking projects: design, procurement, permitting, installation, and final inspection
- Manage third-party designers, installers, and vendors from project kick-off through close-out
- Submit and track city/building permit applications; coordinate fire marshal and inspector approvals
- Sequence project activities and dependencies to keep deliveries and installations on schedule
- Track project costs against budgets and flag margin risk early
New Equipment Sales Coordination
- Coordinate delivery of forklift and equipment orders, including specialized attachments and features
- Manage placement, delivery timing, and customer communication for equipment orders
Battery Order Fulfillment
- Coordinate bulk battery purchases for centralized customer accounts (multi-location clients)
- Process customer portal requests, place orders, coordinate shipment, and arrange third-party installation when required
General Coordination
- Communicate project status clearly to internal stakeholders and customers via phone and email
- Maintain organized electronic project files and documentation in QuickBooks Projects
- Collaborate with sales, operations, and dispatch teams to prioritize workload effectively
What You Bring
- High school diploma or GED required; associate's or bachelor's degree a plus
- 3–5+ years of experience in project coordination, procurement, or operations in a construction, industrial, logistics, or equipment-related field
- Demonstrated ability to manage multiple concurrent projects with competing timelines
- Strong organizational skills and exceptional attention to detail
- Experience coordinating multi-step projects involving vendors, subcontractors, and third parties
- Procurement experience — ordering equipment, tracking parts, managing vendor relationships
- Clear, professional communication skills (phone and written)
- Proficiency with standard business software; strong electronic file management habits
- Cost-tracking discipline — comfortable working with budgets and project margins
- Ability to pass background checks
Preferred Qualifications
- Experience with warehouse racking, MHS design, procurement, or installation projects
- Familiarity with material handling equipment (forklifts, batteries, chargers, dock equipment)
- Experience navigating city building permit and inspection processes
- QuickBooks experience, particularly the Projects module for job costing
- Background in vendor negotiation or procurement
- Office experience in a construction or industrial environment managing permits and project workflows
