Sales Coordinator (Transportation)

We are looking for a highly organized and collaborative Sales Coordinator to support our transportation sales team. This role is ideal for someone who enjoys working with data, coordinating across teams, and ensuring a smooth process from order to delivery.

What You’ll Do
- Review vehicle sales and purchase files to ensure all required documentation is complete
- Process orders through internal approval workflows and submit purchase orders to vendors
- Track and manage orders using internal systems and logs, ensuring accuracy and timely updates
- Communicate with vendors and internal teams to confirm orders, resolve discrepancies, and follow up on outstanding items
- Create and manage purchase orders, sales orders, and work requests within company systems
- Support the preparation of proposals, bid packages, and required customer reports
- Assist with processing invoices, rebates, and procurement documentation
- Partner with sales and operations teams to coordinate order status and delivery schedules
- Participate in weekly production meetings and contribute to continuous process improvement
- Follow company policies, procedures, and safety guidelines
What Success Looks Like (Key Metrics)
- Process customer orders within 24 hours with a high level of accuracy
- Ensure timely processing of manufacturer rebates
- Maintain accurate delivery scheduling in collaboration with internal teams
- Deliver reliable and accurate weekly/monthly reporting
What We’re Looking For
- 2–3 years of experience in administrative, customer service, or coordination roles
- Strong organizational skills and attention to detail
- Comfortable working with data, reports, and multiple systems
- Proficiency in Microsoft Office (Word & Excel)
- Experience with ERP/CRM systems (such as NetSuite) is a plus
- Strong communication and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
