Property Associate

What this job involves:

As a Property Associate at JLL, you'll be at the heart of our coworking and commercial property operations at 333 South Wabash Avenue, creating exceptional experiences for licensees and tenants every day. This dynamic role blends hospitality-focused coworking management with traditional property operations—from orchestrating meeting room bookings and managing mail services to coordinating vendors and supporting financial operations. You'll serve as the welcoming face of the space while ensuring seamless day-to-day functionality across all touchpoints. Estimated total compensation for this position:

$26.44 - $32.69 USD per hour

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .

Expected Schedule: Monday - Friday 8 am - 5 pm

What your day-to-day will look like:

  • Oversee daily coworking operations including opening and closing procedures, maintaining common areas, meeting rooms, and amenities to premium standards while monitoring building systems and coordinating timely repairs

  • Manage all meeting room scheduling, bookings, and setup through the reservation system while tracking licensee allocations and identifying revenue opportunities through supplementary bookings

  • Serve as primary mail handler by receiving, sorting, logging, and securely storing incoming mail and packages; process outgoing mail including postage calculation and carrier coordination while maintaining detailed tracking records

  • Order and maintain kitchen provisions and office supplies, monitoring inventory levels and usage patterns to ensure spaces remain well-stocked and organized throughout the day

  • Act as the primary point of contact for licensees and tenants, facilitating onboarding, addressing service requests promptly, and fostering community through events and engagement initiatives

  • Coordinate vendor relationships and contractor services including cleaning, security, IT support, and maintenance providers while ensuring compliance with building standards and scheduling preventive maintenance activities

  • Process licensee invoicing, payments, and renewals; generate invoices for additional services; manage accounts payable and prepare monthly financial reporting including executive summaries and variance reports

  • Maintain comprehensive lease administration files, prepare tenant correspondence and memos, and coordinate quarterly tenant meetings and monthly Lunch & Learn programming

  • Ensure health, safety, and compliance standards by monitoring security systems, maintaining emergency preparedness protocols, and coordinating inspections and permits with local authorities

Required qualifications:

  • Bachelor's degree (BA/BS) in Business Administration, Business Management, or related business field with completed coursework in accounting and finance.

  • 1–3 years of experience in a professional workplace setting demonstrating strong organizational and administrative capabilities

  • Exceptional customer service orientation with proven ability to build trust-based relationships and respond to diverse stakeholder needs

  • Strong planning and organizational skills with ability to manage multiple concurrent activities, establish priorities, and consistently meet deadlines

  • Excellent written and oral communication skills with ability to draft professional correspondence, lead meetings, and interact diplomatically across all organizational levels

  • Advanced proficiency in Microsoft Office Suite including Word, Excel, and Outlook

  • Demonstrated ability to work independently as a self-starter while also collaborating effectively within team environments

  • Meticulous attention to detail with commitment to accuracy and thoroughness in all tasks regardless of scope

Preferred qualifications:

  • Commercial real estate or property management experience

  • Familiarity with coworking or flexible workspace operations and community management

  • Experience with property management software systems and work order platforms

  • Background in hospitality, facility management, or related customer-focused industries

  • Knowledge of building systems, vendor management, and facilities operations

  • Experience managing financial processes including invoicing, accounts payable, and budget preparation
