POSITION SUMMARY
The Production Administrative Assistant provides administrative and operation support to the Planning and Production functions by coordinating production information, maintaining accurate records, and proactively assisting with the daily execution of production activities. This position plays a key role in keeping work moving by identifying outstanding items, following up across departments and ensuring critical production information is accurate, organized, and available when needed.
The position is expected to operate with a high level of independence. Must be able to recognize priorities, organize their workload and proactively contribute to the success of the Planning and Production departments without requiring continuous direction.
KEY RESPONSIBILITIES
Support daily production planning and administrative activities
Maintain production documentation, travelers, and records
Monitor reports for missing information, overdue actions, and scheduling concerns
Track open jobs and follow up with internal departments and outside vendors
Maintain accurate information within Microsoft Dynamics NAV
Coordinate communication between Planning, Production, Purchasing, Shipping, Quality and Management
Qualifications
Required
Production Control experience in a manufacturing environment
ERP/MRP experience
Strong Microsoft Office skills, especially Excell
Excellent organizational, written, and verbal communication skills.
Preferred
Microsoft Dynamics NAV experience
APICS/CPSM or similar certification
PHYSICAL & ITAR REQUIREMENTS
Access to ITAR-controlled technical data and CUI requires verification of U.S. Person status prior to employment.
Ability to stand for extended periods on a manufacturing floor; regularly lift and carry up to 35 lbs.; frequent bending, reaching, and use of hand tools; use of appropriate PPE (safety glasses, hearing protection, steel-toe footwear) at all times on the production floor. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
This position is performed on the Whelan Machine & Tool production floor, a manufacturing environment with exposure to machine noise, cutting fluids, and moving equipment. Standard shift schedules apply; overtime may be required to support production and delivery commitments.
