Essential Duties/Responsibilities:

Payroll

  • Oversee and review payroll processing and reconciliation of union & non-union payroll for North America with accuracy and within the required deadlines (approximately 1550 employees)
  • Utilize Workday for US Payroll processing in-house.
  • Utilize ADP Canada for processing
  • Provide leadership and direction to the payroll team ensuring efficient and effective delivery of payroll services
  • Manage the collection and accuracy of payroll data.
  • Ensure all payroll related federal, state, and local legal reporting and deposits are filed timely and accurately.
  • Responsible for accuracy of Workday Payroll functionality, including testing future releases and liaising with technical support to troubleshoot, test and implement configuration changes.
  • Provide technical Workday support with EIBs and integration.
  • Manage relationship with ADP & utilization of ADP Smart compliance for payroll cash movements, wage garnishments and tax reporting.
  • Complete required reporting for departmental needs (taxes, overtime, etc.)
  • Manages PRSC within Ivanti, ensuring that the payroll team are responding within SLAs.
  • Communicate with employees on escalated issues reported in Ivanti ticketing system
  • Process special one-off payments (severance, bonus, etc.)
  • Weekly reconciliation of Kronos time & attendance to Workday for hours processing.
  • Responsible for accuracy of Dimensions T&A functionality including timecards, PTO accruals, PTO entitlements and historical corrections.
  • Liaise with technical support for reconfiguration needs such as PTO payout and release testing.
  • Collaborate with HR regarding processing accurate data to retirement and benefit suppliers
  • Support Time and Attendance reporting and related policies.
  • Ensure posting of payroll entries to SAP including monthly accrual.
  • Ensure appropriate supervision and management of Payroll staff including annual performance reviews and day-to-day support.
  • Participate in cross-function meetings as Payroll expert on laws and system configuration for processing.

Reporting

  • Responsible for accurate and timely submission of federal & state reporting (including W-2s)
  • Ensure accuracy of workers compensation payroll information
  • Correctly capture payroll implications related to relocation
  • Ensure local tax jurisdictions up to date & payroll in line with requirements

Company Car fleet (approx. 40 including Pool Cars)

  • Manage relationship with Enterprise or other vendors
  • Ensure adherence to vehicle policy through communication and coordination of information between Finance.
  • Understanding allowances for specific employees and job levels
  • Incorporate new vehicles & company-owned vehicle registrations
  • Update payroll for allowance, fringe, and taxes
  • Ownership of Global Car Policy with the CFO, ensuring compliance in all locations
  • Perform annual reviews to ensure auto allowance and lease limits are comparable to industry standards.

Accounting Processes, Controls & Continuous Improvements

  • Help identify, recommend, and implement improvement opportunities
  • Assist in the continuous improvement of all financial controls in conjunction with group & regulatory requirements
  • Work with Finance on analysis of department & payroll impacted processes

Required Minimum Qualifications

Education/Certifications: Bachelor’s Degree in Accounting, Finance or Business

Skills and Experience:

  • 7+ years of payroll processing including processing within Workday strongly preferred
  • Kronos Time and Attendance experience desired
  • Aptitude to handle large volumes of data & proven track record of accuracy
  • The ability to handle sensitive data in a confidential manner is essential
  • Experience in integrating HR and Payroll systems
  • Demonstrated hands-on finance professional
  • 5+ years SAP or similar ERP experience
  • Experience with multi-company environment (multiple EIN)
  • Proficient in MS Excel
