BASX is looking for an Operations Administrative Assistant who is organized and detail-oriented, with excellent communication and interpersonal skills. The Operations Administrative Assistant will be responsible for providing administrative support to the Operations Manager and other members of the team, as well as assisting with special projects and initiatives. The ideal candidate will have previous experience working in an office environment and be able to work independently with little supervision. Responsibilities:

  • Compiles, composes, edits, produces, and distributes a variety of documents including, but not limited to, detailed memos, e-mails, correspondence, reports, speeches presentations, and other communications as needed
  • Serve as the Secretary of the Safety Committee/CI Committee, and vendor management in Quickbooks & Jobboss
  • Take notes during Operational Meetings and distributes
  • Attend daily Production Meetings and provide support
  • Coordinate, schedule, and update Operational Meetings
  • Order and set up catering for Operational Meetings
  • Assist with the preparation of management reports, such as Key Performance Indicators, etc.
  • Work with Supervisors to keep all personnel requirements updated
  • Daily Reconcile Hours Allocations in JobBoss (training provided)
  • Oversee the purchasing of office supplies, production department shirts, and other materials
  • Assist with the preparation of outgoing correspondence
  • Perform miscellaneous administrative tasks as needed

Qualifications


Education/Work Experience:

  • High School Diploma or general education degree (GED)
  • Ability to work on a broad range of administrative support functions to senior management requiring judgment and discretion. and escalates issues as appropriate
  • The Operations Administrative Assistant works independently to respond to complex and sensitive issues
  • Minimum 2 years of office support/administrative role experience
  • Operation of modern office equipment
  • Able to understand and follow broad and complex instructions
  • Flexible with the ability to prioritize multiple tasks
  • Excellent time management skills
  • Ability to work independently
  • Possess superior customer service skills for internal and external customers

Skills:

  • Detail-orientated, accurate, punctual, and consistent
  • Ability to work independently
  • Strong team player with good planning and organizing, problem-solving, decision-making, and interpersonal skills
  • Ability to exercise independent decisions and judgments
  • Willingness to work occasional work overtime when needed
