Office Manager / Integrator

Good Labor Jobs is assisting a growing health and wellness practice in identifying a strong Office Manager / Integrator to support daily operations, team accountability, patient experience, and continued business growth.

This is not simply an administrative position. Our client is seeking a true operator, organizer, and team leader who can help turn leadership vision into consistent execution.

Position Summary

The Office Manager / Integrator will serve as the bridge between leadership vision and day-to-day implementation. This person will oversee office operations, improve internal systems, support team performance, track key metrics, and help ensure an exceptional patient experience.

The ideal candidate is highly organized, results-driven, emotionally intelligent, and comfortable holding people accountable while maintaining a positive and service-centered culture.

Key Responsibilities

Leadership & Team Support

  • Lead, support, and manage team members

  • Assist with recruiting, hiring, onboarding, training, coaching, and employee development

  • Conduct weekly one-on-one accountability meetings

  • Support quarterly performance reviews

  • Build a culture of ownership, excellence, positivity, and accountability

  • Address performance concerns promptly and professionally

  • Foster a servant leadership environment

  • Ensure every team member understands expectations, responsibilities, and KPIs

Daily Office Operations

The Office Manager / Integrator will oversee and improve daily systems and workflows, including:

  • Front desk operations

  • Scheduling efficiency

  • Patient flow

  • Check-in and check-out procedures

  • Financial collections

  • Insurance processes

  • Patient service workflows

  • Workshop or event coordination

  • Product or supplement operations

  • Inventory management

  • Vendor relationships

  • Office appearance and overall patient atmosphere

KPI & Scorecard Management

This role will help maintain, review, and report weekly office performance metrics, including:

  • Patient experience

  • Patient satisfaction scores

  • Online reviews

  • Patient retention

  • Reactivation rates

  • New patients or new clients per month

  • Workshop or event attendance

  • Workshop or event conversions

  • Referral conversions

  • Monthly collections

  • Revenue growth

  • Product or supplement revenue

  • Accounts receivable

  • Schedule utilization

  • Patient volume

  • Team goals achieved

  • Team retention

  • Follow-up visit completion

The Office Manager / Integrator will help present and review these metrics with leadership on a weekly basis.

Team Accountability

This person will help develop and manage scorecards for each position and review them regularly to ensure accountability and performance.

Example accountability areas may include:

  • Phone conversion percentage

  • Schedule utilization

  • Collection percentage

  • Patient experience score

  • Consultation conversions

  • Product or service adherence

  • Follow-up scheduling

  • Event enrollment

Meetings & Communication

The Office Manager / Integrator will help lead or support key internal meetings, including:

Daily Morning Huddle

Review the daily schedule, potential obstacles, special patient needs, and team wins.

Weekly Team Meeting

Review KPIs, wins, challenges, training, and priorities.

Monthly Leadership Meeting

Review revenue, growth opportunities, staffing needs, systems improvements, and upcoming initiatives.

Quarterly Strategic Planning

Review business goals, team development, marketing campaigns, new services, growth projections, and operational improvements.

Systems This Role Will Help Own

The Office Manager / Integrator will help oversee key systems across the practice, including:

Office Operations

  • Patient flow

  • Care plan or service completion

  • Scheduling optimization

  • Front desk workflows

Patient Services

  • Consultation processes

  • Follow-up workflows

Workshops & Events

  • Registration tracking

Financial & Administrative Operations
