OFFICE MANAGER / FULL-CHARGE BOOKKEEPER

Location: Monticello, NY

Industry: Automotive Dealership

Reports To: Ownership

Compensation: $80,000 - $100,000 per year

Overview

We are a well-established, sixty-year-old, growing automotive dealership group with four locations seeking an experienced Office Manager / Full-Charge Bookkeeper to oversee daily accounting operations, manage payroll processes, ensure tax compliance, and handle HR functions. The ideal candidate is ready to take the next step and grow with our organization.

Key Responsibilities

Accounting & Dealership Financial Operations

  • DCS communications with manufacturers; posting and reconciling daily.
  • Book all vehicle transactions.
  • Process vehicle payoffs for new, pre-owned, and trade-in vehicles.
  • Post and reconcile contract funding.
  • Reconcile schedules and correct/verify discrepancies.
  • Manage daily accounting operations across four dealership locations.
  • Produce monthly financial statements and send to franchises and floorplan sources in a timely manner.
  • Coordinate year-end tax preparation with the external CPA firm.
  • Ensure compliance with accounting standards and dealership procedures.
  • Support and plan internal audits and process improvement initiatives.

Payroll Administration

  • Payroll input, setup, and reconciliations.
  • Post payroll to the books.
  • Post 401(k) transactions.

Human Resources Administration

  • Handle hiring paperwork, terminations, and policy enforcement.
  • Administer employee benefits.
  • Manage workers' compensation administration.
  • Process wage garnishments.

Insurance Administration

  • Responsibility for all insurance programs including:- Garage Keepers Liability
    • Workers' Compensation
    • Disability Insurance
    • Company-Sponsored Health Insurance

Tax Compliance & Reporting

  • Submit and account for co-op advertising.
  • File Sales Tax returns for New York and New Jersey on a regular basis.
  • Review and submit Luxury Tax returns.
  • Review and submit Tire Waste Tax returns.

Leadership & Staff Management

  • Supervise and review the work of accounting and office administration support staff.
  • Ensure accuracy, compliance, and efficient workflow across dealership accounting functions.

Required Qualifications

  • Minimum 5 years of progressive accounting experience.
  • Ability to manage staff.
  • Associate Degree in Accounting (minimum).
  • Prior experience working in an automotive dealership environment.
