Job Overview:

ESSENTIAL DUTIES & RESPONSIBILITIES

General description of main/primary duties and responsibilities of the job, aptitude, level of complexity, span of control, autonomy, decision making and judgement.  It is central and necessary to the satisfactory performance of the job. Includes the following and other duties as assigned.

Under general supervision, this position will:

  • Be responsible for maintaining, organizing and performing various administrative and office support activities within the Company.
  • Ensure that office areas like the front desk, lobby, conference rooms, storage, and break rooms are clean and well stocked.
  • Order office and food/beverage supplies by checking inventory daily and fulfill supply and catering requests from employees.
  • Receive initial communications into the Company, including phone calls and faxes, and transfer to the proper channels.
  • Be responsible for handling incoming and outgoing mail, shipping and receiving of packages, delivery to appropriate person and maintaining shipping related receipts.
  • Coordinate commercial (non-charter) travel arrangements for employees using Concur and serve as the main point of contact for travel related inquiries.
  • Assist employees with preparing expense reports by completing the form, gather and scan receipts, and provide copies back to the employee to submit for approval.
  • Assist the departments with a variety of projects, reports, data entry, etc.
  • Performs other duties as assigned.

 

QUALIFICATIONS

Education, Experience, Licensure (minimum level required)

  • High School Diploma or equivalent.

  • Strong knowledge of Microsoft Office Suite including MS Outlook Calendar and Excel, and basic knowledge of Adobe.
  • Basic knowledge of use/operation of standard office and shipping equipment.
  • Work independently with little supervision and make good decisions when completing tasks.
  • Good written and verbal communication skills with the ability to use correct grammar, punctuation, and spelling.
  • Able to help, support, and work effectively within a team.
  • Able to maintain confidentiality.     
  • Good customer service skills applied to all levels in the organization.

 

SUPERVISORY RESPONSIBILITIES

  • Functions as an individual contributor with no supervisory responsibilities.

 

WORK ENVIRONMENT

Office Related:

  • Job is primarily performed in an office setting with exposure to computer screens and requires regular use of a computer, keyboard, mouse, and multi-line telephone system.
  • The noise level in the work environment is usually quiet.
  • Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.

 

HOURS / SHIFTS

  • Regular business hours.

 

PHYSICAL DEMANDS

  • Regularly required to sit, stand, walk, and reach with hands and arms.
  • Minimally lift, push, carry and/or move up to 20 pounds.

 

TRAVEL

Approximate amount of time: Minimal (under 25%); Regularly (25% - 75%); 

Frequent (more than 75%).
