Job: Motor Vehicle Dispatcher

Salary Grade: Federal Wage Determination or Collective Bargaining Agreement

FLSA Status: Non-Exempt

POSITION SUMMARY:  Under general supervision, the Motor Vehicle Dispatcher assigns vehicles and drivers based on length and purpose of trips, freight or passenger requirements, and user preferences.

 

 

TYPICAL DUTIES:1. *Assigns motor vehicles and drivers for conveyance of freight and passengers and compiles lists of available vehicles;  2. *Maintaining issuance of keys, record sheets, and driver credentials;3. *Records time of departure, destination, cargo, and expected time of return;4. *Investigate overdue vehicles;5. *Confers with customers to expedite or locate missing, misrouted, delayed or damaged merchandise;6. *Maintains record of mileage, fuel used, repairs made, and other expenses;7. *Establish service and delivery routes;8. *Issue equipment to drivers (such as hand trucks, dollies, and blankets);9. *Direct activities of drivers, assign helpers to drivers, work at vehicle distribution centers, and assign vehicles to customer agencies;10. *Inspect vehicles upon issue and return;11. *Maintain, file, and complete the accident reporting and customer/user information documentation;12. *Coordinate vehicle support by contacting the customer directly via phone or email for clarification as needed;13. *Inform the supervisor when multiple requests are received and support cannot be met;14. *Provide monthly mileage reports and daily usage for billing purposes;15. *Instruct personnel in emergency repair contact information, accident reporting, monthly mileage requirements and inform supervisor of any discrepancies or problems with specific individuals or units;16.  Perform other duties and special projects as assigned.

MINIMUM QUALIFICATIONS:• Two or more years of prior work experience in a transportation environment;• Ability to follow directions, structured processes and procedures;• Ability to communicate effectively to provide information, complete daily records, and to act responsively to inquiries and requests from vendors, customers, management, and to escalate matters appropriately;• Ability to manage and accurately track data, and adapt to changing work priorities;• Excellent customer service and problem solving skills, including ability to exercise independent judgment;• Computer literacy including knowledge of word processing, spreadsheet and database software;• Demonstrated organizational, problem-solving and common sense skills with an attention to detail;• Flexibility for responding to competing demands and continually changing work priorities in a fast paced environment;• Effective oral communication skills for providing information and assistance to internal and external customers; in person, over the telephone, and in writing;• Skills to enter or lookup and retrieve data from multiple, related systems and databases;

 

 

EDUCATION REQUIREMENTS:

High School Diploma or GED

Technical/other training

 

 

CERTIFICATES OR LICENSES REQUIRED:

The following licenses or certificates may be required depending on local, state and/or contract requirements:

 

Valid Driver's License

 

 

PHYSICAL REQUIREMENTS:

Employees must have the ability to perform the following physical demands for extended periods of time with or without assistance:

 

• Maneuvering to and around equipment • Bending, stooping, and reaching• Utilizing keyboard• Monitoring computer systems• May include viewing computer/CCTV monitor(s) and detailed work requiring close vision• Moving or lifting boxes up to 25 pounds • Answering/making phone calls  • Communicating with others

 

 

WORK ENVIRONMENT:

Work is primarily performed at a customer’s location in an office / shop environment with limited privacy and some exposure to background noise and/or noise from equipment.  Transporting to locations with the work site may be required.  Employees may also be exposed to extreme cold or heat.
