WHAT YOU GET TO DO

The Marketing Operations Specialist supports the execution and optimization of the marketing operations framework, the budgeting process, events management, and marketing coordination tasks to support the marketing team. This role will play a key part in enabling financial oversight, team processes, project management, and vendor management. 

Essential Functions & Responsibilities:

  • Process purchase orders (POs), invoices, and vendor payments accurately and on time 
  • Montor and track marketing budgets to ensure alignment with budget allocations and compliance with internal policies 
  • Maintain organized financial and vendor records for reporting and internal compliance 
  • Optimize marketing workflows in Monday.com to improve efficiency and scalability 
  • Coordinate onboarding of vendors and maintain ongoing vendor relationships, including contractors, W9s, NDAs, etc. 
  • Track contracts, renewals, and compliance requirements, serving as a liaison between marketing, procurement, legal, and external partners 
  • Act as a traffic coordinator to manage campaign and project timelines, deliverables, and resources, identifying risks and escalating as needed 
  • Support the administration, team training, troubleshooting, and contract management for the technology stack (HubSpot, ZoomInfo, Monday.com, Zuant Lead Capture, etc.) 
  • Assist in planning and execution of tradeshows, conferences, and marketing events 
  • Coordinate logistics including vendor communication, materials, shipping, and timelines
  • Support post-event reporting and performance analysis 

WHAT YOU HAVE

  • Bachelor’s degree in Business, Finance, Marketing, Operations, or a related field preferred. Equivalent combination of education and experience considered. 
  • 2-3 years of experience in marketing operations, MarTech administration, business operations, or a similar role supporting a cross-functional marketing organization. 
  • Proficiency in Microsoft Excel 
  • Experience administering project management systems such as Monday.com 
  • Experience coordinating vendor onboarding, renewals, contract reviews, and tool alignment in partnership with finance, procurement, and leadership. 
  • Strong organizational skills with high attention to detail

Working Conditions & Environment: 

  • Overtime if required by work. 
  • Occasional travel required. 
  • Professional office etiquette required at all times. 
  • Physical requirements: sitting for long periods of time, standing, walking, climbing ladders, speaking, visual acuity, finger dexterity, listening, reaching at arm’s length, and lifting up to 50lbs.
