Maintenance Scheduler & Inventory Clerk

Summary
The Maintenance Scheduler & Inventory Clerk is responsible for coordinating daily and weekly maintenance schedules, managing the spare parts inventory system, and ensuring accurate documentation within the Fiix CMMS. This role plays a critical part in supporting maintenance operation by ensuring that work orders are scheduled, materials are available, and shift-to-shift communication is clear.
The position requires strong organizational and computer skills, attention to detail, and the ability to work cross-functionally with maintenance, operations, and outside vendors. This role is especially important as the facility strengthens preventive maintenance, improves parts organization, and drives continuous improvement in reliability.
Essential Duties & Responsibilities
- Schedule preventive and corrective maintenance work orders in Fiix CMMS, ensuring timely completion and proper documentation.
- Manage spare parts and critical inventory: receive, log, issue, and return parts with accuracy.
- Support 5S practices in the parts room and maintenance shop to maintain organization and efficiency.
- Track open work orders, backlog, and upcoming PM schedules; communicate priorities to maintenance leads.
- Collaborate with purchasing/vendor partners to order and expedite parts while monitoring lead times.
- Provide clear updates on inventory levels, parts usage, and orders to the Maintenance Manager and shift leads.
- Support maintenance shift handoffs by ensuring work orders and parts information are updated daily.
- Maintain organized files, records, and reports to support compliance with audits and inspections.
- Assist in capital project planning by ensuring parts are ordered and staged for installation.
- Occasionally pick up local parts when required (mileage reimbursed).

Experience / Requirements
- Previous inventory management experience required.
- Proficiency in Excel and CMMS systems (Fiix experience preferred).
- Strong organizational skills with attention to detail.
- Ability to communicate effectively across multiple shifts and departments.
- Valid driver’s license and reliable transportation (occasional parts pickup required).

- Regularly required to sit, type, talk, and hear.
Occasionally required to stand, walk, lift up to 30 lbs, and reach with hands and arms.
