Job Overview:

As a member of the Global Legal and Compliance Department, reporting to the Legal Operations Manager, the Legal Operations Specialist is responsible for, among other things: providing analytical, technical, and certain administrative support to James Hardie’s Legal and Compliance Department, including providing support to global functions; developing, implementing and administering legal information management systems; participating with the development and implementation of legal and policies and procedures; managing and working with internal and external business partners on legal, insurance, corporate governance and compliance and related matters, including management of relationships with legal and insurance counsel and vendor relationships.

Position Responsibilities

Legal Operations and Systems administration of global legal platforms (40%):

  • Manage matter management system to maintain data integrity and ensure prompt matter management by Legal and Compliance and business users;
  • At the direction of Legal Operations, provide and analyze data to support JH legal, accounting, and operations;
  • Assist in administration of e-billing system including vendor and matter set-up, purchase order and invoice review for the global legal organization;
  • Assist legal operations in process improvement and procedural initiatives as it relates to the global department’s software solutions;
  • Administer all global legal systems as directed by Legal Operations;
  • Assist in the development and implementation of legal operations initiatives;
  • Assist in process improvement initiatives at the direction of legal Operations.

Analytical, technical and certain administrative support to James Hardie’s global Legal and Compliance Department (40%):

  • At the direction of the Assistant General Counsel, assist in quarterly, annual and day-to-day insurance needs including data collection from global organization, renewals, certificates of insurance, and workers’ compensation;
  • Provide administrative support to global function including, but not limited to, word processing and formatting documents, developing slide decks;
  • Liaise with outside counsel and James Hardie Accounts Payable to ensure prompt payment of legal invoices;

Assistant to the Corporate Secretary (20%)

  • Serve as Assistant to the Deputy Company Secretary for various subsidiaries of James Hardie;
  • Preparation of various corporate entity records and maintain system for ensuring records and database are up to date;
  • Working closely with global practice leads and Company Secretary, manage the global entity database.
  • Assist Dublin office in preparation of Board reports, etc.

Position Requirements

Knowledge, Skills And Abilities

  • Experience working within a corporate legal department or law firm is highly desirable.
  • Expertise in knowledge management, e-billing, and document management systems.
  • Knowledge of corporate governance and compliance functions and processes, as well as experience in e-billing processes and vendor management.
  • Knowledge in the areas of insurance and workers’ compensation preferred.
  • Ability to develop, improve, document and provide high quality deliverables.
  • Strong system and Excel skills.
  • Strong oral and written communication skills.
  • Strong analytical and problem solving skills with a proven track record.
  • Ability to be detailed while having a strong understanding of the bigger picture.
  • Excellent project management, organizing and planning skills, with a proven track record in implementing improvement projects.
  • Understands the team concept, has a strong desire to be a contributing teammate and ability to operate cross-functionally.

Education/Experience Required

  • A Bachelor’s degree in business or a business related field is preferred but not required.
  • A paralegal certificate or at least 5 years’ experience in a law firm or corporate legal department is required.
