Position Summary:  This position will be responsible to ensure that all accounts payable are accurately represented and proactively reviewed, and to drive advanced issue resolution and troubleshooting.  Essential duties and responsibilities include: ability to lead and supervise all aspects of end-to-end payable activities and applications including invoice processing and executing and managing the payment process; administer Travel & Entertainment process and activity; support the Legal Department in their tracking of accruals and invoices for legal matters; and assist the Accounts Payable Manager on advanced accounts payable activities including responsibility for monitoring department productivity, organizing workflow, and delegating tasks within department as needed.  The role is responsible for supporting North America, Europe, Ireland, and Singapore operations with potential to expand to additional international locations.

 

Essential Duties and Responsibilities:

  • Lead and perform full cycle accounts payable process activities
  • Prepare, review, edit, and approve weekly payment run activities 
  • Identify and approve exception payments as needed
  • Identify, investigate, and resolve payment returns and rejections.
  • Manually clear foreign payments and allocate foreign exchange amounts as needed
  • Analyze assigned vendor accounts for open balances and issues and approve submission of write-off recommendations when needed
  • Administer and manage the T&E process and policy, in accordance with the Global Travel Policy
  • Receive, audit and process expense reports, Identify and reconcile submitted expense discrepancies, follow-up and track unreconciled charges
  • Manage and update the T&E SharePoint portal and T&E spreadsheet as needed
  • Prepare and submit quarterly accounting T&E accruals
  • Assist legal team with finance forecasting and other application activities as needed in Legal Tracker
  • Prepare, file and report 1099MISC/NEC activities to vendors and the IRS
  • Review, approve, and establish new vendor master records for Employees in the SAP system
  • Coordinate, establish and update Vendor Master Record banking as needed with the Procurement team
  • Manage department process documentation and coordinate and develop new documents when needed
  • Prepare and analyze monthly accounts payable and T&E reports
  • Team lead in advance issue resolution.  Independently provide guidance and direction to team to resolve critical or advance department issues
  • Perform and support adhoc department functions
  • Perform monthly accounting reconciliations and propose adjusting journals as needed
  • Identify and develop potential areas for department improvements and efficiencies
  • Supervise Team in manager’s absence

 

Education and Experience 

  • A four-year degree in accounting or finance or equivalent work experience required
  • Generally, 8+ years of experience in accounts payable function
  • Experience working with the SAP ERP system and OpenText workflow (preferred)

 

Knowledge and Skill Requirements

  • Knowledge of general accounting principles, regulatory standards, and compliance       requirements

  • Competency in Microsoft Office applications, with proven use of pivot tables, macros, and SharePoint site editing
