About the Role:
The IT Project & Asset Manager will support the organization’s technology operations, software licensing, vendor management, compliance initiatives, and IT project delivery. This hybrid role serves as the primary coordinator for software licensing governance, vendor relationships, procurement activities, and project coordination efforts.
The ideal candidate will possess strong organizational, analytical, and communication skills and be capable of coordinating technology initiatives, managing software and hardware assets, overseeing vendor relationships, and providing visibility to IT leadership regarding project and operational status.
Essential Duties and Responsibilities

IT Project Management
- Support the IT department by coordinating project activities and deliverables.
- Plan, organize, and integrate cross-functional IT tasks to deliver successful outcomes on schedule.
- Schedule project meetings, record and distribute meeting minutes, and maintain project documentation.
- Monitor project milestones, risks, action items, issues, decisions (RAID), and deliverables.
- Follow up with project stakeholders to ensure project activities are completed on time.
- Assist with coordinating testing efforts, training activities, and implementation schedules.
- Maintain project status reports, resource forecasts, and reporting dashboards.
- Provide regular project updates and operational metrics.
- Support customer and stakeholder communications by managing expectations and providing timely project updates.
- Document lessons learned and contribute to continuous improvement efforts.
IT Asset and Software License Management
- Serve as the primary coordinator and administrator for organizational IT assets and software licenses.
- Maintain accurate inventory records for hardware, software, subscriptions, warranties, and licensing documentation.
- Assist with managing the complete lifecycle of IT assets, including procurement, deployment, maintenance, transfers, renewals, upgrades, and disposal.
- Assist with reviewing, evaluating, and approving software licensing requests to ensure compliance with organizational standards and budget requirements.
- Identify opportunities to consolidate software licensing agreements and optimize software utilization across the organization.
- Monitor software usage and licensing compliance to ensure adherence to vendor agreements and organizational policies.
- Conduct periodic audits and reconciliations of hardware inventories, software assets, and licensing records.
- Develop and maintain asset management procedures, documentation, and governance standards.
Vendor and Procurement Management
- Serve as the primary point of contact for IT vendors and technology partners.
- Coordinate the procurement of hardware, software, licensing, and technology-related services.
- Manage vendor relationships, contract renewals, licensing agreements, and support escalations.
- Evaluate vendor proposals, pricing models, and licensing structures to maximize organizational value.
- Collaborate with internal stakeholders to ensure hardware and software requests meet business, operational, and security requirements.
- Track vendor performance, contract milestones, and renewal schedules.
Reporting and Leadership Support
- Develop and maintain reports related to asset utilization, software licensing, vendor performance, project status, and compliance metrics.
- Provide operational and project oversight updates to IT leadership.
- Identify opportunities for process improvements and cost savings across technology operations.
- Maintain effective communication and working relationships with technical teams, business stakeholders, vendors, and leadership.
- Perform additional duties as assigned by management.
Qualifications

Education and/or Experience
- Bachelor’s degree in information technology, business administration, project management, or a related field and a minimum of 2-3 years of relevant experience; or, in lieu of a degree, 5-7 years of progressively responsible experience in IT asset management, software licensing, vendor management, project coordination, or related technology roles.
- CAPM, or equivalent project management certification preferred.
- An understanding of software licensing models, asset lifecycle management, procurement processes, and vendor management.
- Experience coordinating technology projects and working with cross-functional teams.
- Advanced proficiency with Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) and project management tools.
- Excellent organizational, analytical, problem-solving, written, and verbal communication skills.
- Ability to manage multiple priorities and projects simultaneously.
- Strong customer service and stakeholder management skills.
- Ability to confidently interpret and enforce technology policies, standards, and procedures.
Preferred Qualifications
- Experience managing software licensing programs and vendor contracts.
- Experience with IT Asset Management (ITAM) platforms and Service Management solutions.
- Experience implementing technology initiatives and business process improvements.
