Job Overview:

Job Title: Inventory & Materials Specialist

**Location: **Madison, WI (Onsite)

**Pay Range: **$24-26/hr on W2

Position Summary

The Inventory & Materials Specialist is responsible for receiving, storing, tracking, packaging, and shipping materials and equipment while maintaining accurate inventory records. This role supports manufacturing, product testing, service operations, and other departments by ensuring material availability, inventory accuracy, and efficient logistics activities.

Key Responsibilities

Inventory Management & Material Control

  • Maintain accurate inventory levels for GMP and non-GMP materials and supplies.
  • Monitor stock levels and support replenishment activities while maintaining appropriate safety stock.
  • Update inventory records and transactions within the ERP system.
  • Assist with cycle counts, physical inventories, and inventory reconciliation activities.
  • Investigate and resolve inventory discrepancies through root cause analysis.
  • Identify and help manage excess, slow-moving, and obsolete inventory.

Receiving & Inspection

  • Receive incoming shipments, materials, equipment, and packages.
  • Inspect shipments to verify quantity, condition, and compliance with purchase orders.
  • Review and confirm Bill of Lading accuracy and sign receiving documentation.
  • Label, store, and distribute received materials according to company procedures.

Shipping & Logistics

  • Coordinate and prepare outgoing shipments with internal departments and external carriers.
  • Package, label, and ship products and materials in accordance with company requirements.
  • Ensure proper handling, storage, movement, and disposition of materials.
  • Support intercompany transfers and resolve shipping-related issues.

Cross-Functional Support

  • Collaborate with manufacturing, quality, purchasing, planning, and other departments to meet material requirements.
  • Assist in resolving inventory, material availability, and order fulfillment issues.
  • Support supply chain activities including material handling, critical parts availability, and logistics coordination.
  • Contribute to the development and improvement of inventory control, shipping, receiving, and logistics procedures.

Additional Responsibilities

  • Follow company policies, procedures, and safety requirements.
  • Perform other duties as assigned.

Qualifications

Required

  • High School Diploma or GED.
  • Strong written and verbal communication skills.
  • Ability to work independently and accurately in a fast-paced environment.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office applications.
  • Ability to collaborate effectively across multiple departments.

Preferred

  • Some college coursework.
  • Experience in warehouse operations, receiving, inventory control, logistics, or materials management.
  • Experience working in a cGMP, manufacturing, scientific, or regulated environment.
  • Experience using ERP systems, preferably SAP.

Reporting Structure

  • Reports to the Materials Manager.
  • Works as part of the Supply Chain team, including inventory management, purchasing, planning, shipping, and receiving functions.
  • Collaborates with personnel across all departments.

Work Environment

  • Temperature-controlled warehouse and office environment.
  • Frequent interaction with inventory, shipping, receiving, and manufacturing operations.
