JOB SUMMARY (the purpose and general nature of the job): 

The Human Resources Assistant provides day-to-day administrative and operational support for the Human Resources function and serves as the first point of contact for employees, applicants, and managers. In this role, the Human Resources Assistant responds to routine questions and requests and refers matters to the appropriate HR team member, including the HR Generalists, Vice President, HR & EHS, or others within the HR team, as necessary. This position supports the full U.S. Human Resources team and may also assist with global reporting and other related administrative responsibilities from time to time. The role helps ensure accurate and timely administration of employee records, recruiting support, onboarding, benefits administration, training coordination, HR reporting, and general HR communications. The Human Resources Assistant is expected to maintain confidentiality, deliver strong customer service, and support compliance with company policies, employment practices, and recordkeeping requirements.

PRINCIPLE ACCOUNTABILITIES include the following:

  • Responds to employee and manager questions related to HR services, benefits, policies, procedures, and general employment matters; provides timely, accurate information and escalates issues to the appropriate HR team member as needed
  • Serves as the main point of contact for the Colorado receptionists, providing guidance, coordination, and support related to scheduling, coverage, communication, and other administrative needs as appropriate
  • Maintains employee records in paper and electronic systems, including new hire documentation, status changes, benefits forms, and other employment-related records
  • Coordinates onboarding and recruiting administration, including preparing new hire files, assisting with orientation, posting positions, scheduling interviews, coordinating candidate communication, and preparing hiring documents
  • Assists with benefits administration, including enrollments, changes, terminations, open enrollment activities, and employee communications
  • Assists with verifying I-9 documentation and maintaining related records in compliance with applicable requirements
  • Schedules meetings, training sessions, and other HR-related events as requested
  • Prepares, reviews, and distributes HR correspondence, forms, reports, and communications with a high degree of accuracy and professionalism
  • Processes employment changes and separations, including associated paperwork, system updates, and record retention tasks
  • Supports HR reporting by generating, updating, and maintaining reports related to turnover, absenteeism, recruiting activity, training, and other HR metrics, including periodic global reporting support
  • Maintains HR content on internal systems such as the company intranet, forms libraries, and employee communication resources
  • Handles HR mail, filing, scanning, document routing, and signature collection while maintaining confidentiality and organization
  • Supports special HR projects, audits, and compliance activities

Additional responsibilities and duties may be assigned. 
 

KNOWLEDGE/EXPERIENCE/SKILLS: Minimal requirements for education, knowledge and experience:

  • Associate’s degree preferred, or high school diploma/GED with three to five (3–5) years of relevant human resources and administrative experience required
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, required
  • Experience supporting recruiting, onboarding, employee records administration, or benefits processes preferred
  • Experience working with HRIS platforms such as ADP Workforce Now preferred
  • Prior Environmental Health and Safety (EHS) exposure or support experience preferred
  • Excellent verbal and written communication skills and strong interpersonal skills required
  • Strong organizational skills with the ability to manage multiple priorities, maintain accuracy, and meet deadlines
  • Demonstrated discretion and ability to handle confidential and sensitive information appropriately
  • Self-directed, dependable, and proactive, with strong customer service orientation and sound judgment
  • Ability to identify needs, recommend process improvements, and support implementation of HR initiatives

 

PHYSICAL / MENTAL DEMANDS AND WORKING CONDITIONS: 

The physical and mental demands described here are representative of those required to successfully perform the essential functions of this position: 

Work Schedule: • Generally a full-time schedule consisting of approximately 40 hours per week; may require additional hours based on business needs. 

Physical Demands: • Prolonged periods of sitting and working at a computer • Frequent use of hands and fingers for typing and operating office equipment • Occasional standing, walking, and reaching • Ability to lift and/or move up to 10 pounds occasionally 

Mental / Cognitive Demands: • Ability to maintain focus and productivity in a fast-paced, multi-tasking environment • Strong attention to detail and accuracy • Ability to prioritize tasks, meet deadlines, and manage competing priorities • Frequent interaction with internal and external stakeholders requiring effective communication and problem-solving 

Working Conditions: • Primarily office-based environment • Shared workspace with potential for moderate noise levels and interruptions • Regular use of standard office equipment (computer, phone, printer) • May require occasional flexibility in schedule to support business operations • May require occasional visits to manufacturing areas, with exposure to noise, moving equipment, and varying temperatures (appropriate PPE required)
