Job Overview:

Are you a detail-oriented, people-first professional who thrives in a dynamic environment? We are looking for an HR & Administrative Coordinator to join our team! In this role, you will be the heartbeat of our HR operations, supporting everything from talent acquisition and onboarding to employee events and production support.

This position is ideal for someone who loves balancing face-to-face employee interaction with structured administrative work. Because you will be handling highly sensitive personnel and operational details, absolute confidentiality and a trustworthy approach are essential.

What You’ll Do

As our HR & Administrative Coordinator, your day-to-day responsibilities will span three core areas:

1. Talent Acquisition & Onboarding

  • Own the Candidate Experience: Coordinate and conduct interviews, provide valuable input on hiring selections, and usher new hires through the process.

  • Onboarding & Training: Manage new hire documentation (including I-9 verification and record creation), facilitate onboarding, and track initial training milestones for hourly employees through their probationary periods.

  • Pre-Employment Screening: Coordinate background checks, eye exams, and drug screenings for incoming team members.

2. Employee Engagement & Support

  • Be the Go-To Resource: Serve as a primary point of contact for daily employee questions, providing excellent customer service.

  • Event Planning: Join our internal events committee to help dream up, coordinate, and execute exciting monthly and quarterly employee events.

  • Leave Coordination: Administer initial paperwork for FMLA, ADA, and other employee time-off requests.

  • Employee Relations: Assist the HR Manager with handling simple, routine employee disciplinary matters.

3. Compliance & Administrative Support

  • Keep Us Organized: Maintain, access, and archive hourly employee records and personnel files ensuring strict regulatory and record retention compliance.

  • Production Support: Provide administrative assistance directly to our production operations, including drafting business correspondence and company-wide communications.

  • Reporting: Prepare routine reports and complete special projects as directed by the HR Manager.

What You Bring to the Team

We are looking for a collaborative communicator who can easily connect with employees at all levels of the organization. To be successful, you should meet one of the following combinations of education and experience:

  • Option A: Bachelor’s Degree in HR or Business + 1 to 2 years of relevant experience.

  • Option B: PHR or SHRM-CP certification + 1 to 3 years of relevant experience.

  • Option C: aPHR certification + Associate’s Degree in HR or Business + 2 to 3 years of relevant experience.

Key Skills & Abilities:

  • Industry Experience: Prior experience in HR or office management is required. Experience working within a manufacturing environment is a major plus!

  • Technical Savvy: Proficiency in Microsoft Office (Excel, Access, Outlook, Word, PowerPoint), Google Workspace (Docs, Slides, Forms, Classroom, Meet), virtual meeting software, and familiarity with HRIS/ERP systems.

  • Communication & Math: Strong public speaking and written communication skills. Comfortable with intermediate business math (calculating percentages, proportions, and basic algebraic concepts).

  • Problem Solving: A sharp mind for identifying routine issues, gathering data, and applying company policies to find solutions.

Work Environment & Physical Demands

  • Setting: A professional office environment with a moderate noise level (computers, printers, light traffic).

  • Physical Requirements: Regularly required to sit, type on a keyboard, and communicate clearly in person and over the phone. Occasional standing, walking, reaching, or lifting/moving up to 30 pounds may be required.

  • Travel: Minimal—less than 10% travel time as needed.

  • Flexibility: Standard business hours apply, though occasional flexibility for evening or weekend hours may be necessary to support specific events or production needs.
