Position Summary
We are seeking a professional, organized, and customer-focused
Front Office Assistant. This role serves as the first point of contact for patients, ensuring an exceptional experience from check-in to check-out. The ideal candidate is detail-oriented, possesses excellent communication skills, and thrives in a fast-paced medical or dental office environment while providing outstanding customer service.
Key Responsibilities
- Greet and assist patients in a friendly and professional manner.
- Answer and manage incoming phone calls, text messages, and emails promptly.
- Schedule, reschedule, confirm, and cancel appointments accurately.
- Verify patient information and ensure all required paperwork is completed before appointments.
- Contact patients regarding appointment confirmations, cancellations, late arrivals, and follow-up visits.
- Maintain patient confidentiality in compliance with HIPAA regulations.
- Process patient payments (cash, credit card, and other payment methods) and balance daily transactions.
- Assist with insurance verification and treatment scheduling when applicable.
- Maintain accurate patient records using practice management software (ChiroSpring 360, Open Dental, or similar systems).
- Perform general administrative duties, including filing, scanning, copying, faxing, and printing schedules.
- Monitor office supplies and notify management when inventory is low.
- Help maintain a clean, organized, and welcoming reception area, waiting room, and common office spaces.
- Provide exceptional customer service by addressing patient questions and resolving concerns professionally.
- Support office operations and complete additional administrative tasks as assigned.
Qualifications
- Previous experience in a medical, chiropractic, or dental front office preferred.
- Strong customer service, communication, and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Experience with Microsoft Office, Outlook, and electronic practice management software preferred.
- Experience with insurance verification is a plus.
- Knowledge of dental or medical terminology is preferred.
- Bilingual in English and Spanish is a plus.
- Ability to maintain confidentiality and comply with HIPAA guidelines.
- Ability to work flexible hours, including occasional Saturdays.
