Job Purpose


The Front Desk Administrator serves as the first point of contact for visitors, employees, vendors, and callers at Weiss Technik North America’s Cincinnati facility. This role is responsible for creating welcoming, professional front-office experience while supporting day-to-day administrative needs across the site.

The ideal candidate is dependable, organized, friendly, and comfortable handling a variety of tasks in a fast-paced manufacturing and office environment. This is an entry-level administrative role with opportunities to learn internal processes, support cross-functional teams, and contribute to a professional, service-focused workplace.

The Job Title listed empowers the Incumbent with the authority to execute all duties and responsibilities listed below. In the event of a conflict of authority, the Incumbent shall elevate to direct supervisor for resolution.

Duties and Responsibilities

  • Greet visitors, customers, vendors, candidates, and employees in a professional and friendly manner.
  • Manage visitor sign-in procedures and follow company safety and security protocols.
  • Notify appropriate employees when visitors arrive.
  • Maintain a clean, organized, and welcoming reception area.
  • Support badge, access, or visitor coordination as needed.
  • Answer and route incoming phone calls promptly and professionally.
  • Take accurate messages and direct inquiries to the appropriate department or employee.
  • Respond to general questions or route requests appropriately.
  • Maintain professionalism and confidentiality when handling calls or visitor interactions.
  • Assist with entry-level administrative projects, including filing, scanning, copying, data entry, document organization, and record maintenance.
  • Support HR, operations, customer service, or other departments with basic administrative tasks as assigned.
  • Prepare documents, labels, packets, forms, or correspondence as needed.
  • Assist with meeting preparation, conference room coordination, and general office support.
  • Help maintain office supplies and communicate reorder needs.
  • Receive and distribute mail, deliveries, and packages.
  • Assist with coordinating shared office spaces, conference rooms, and front-office materials.
  • Support internal events, employee meetings, or visitor schedules when needed.
  • Follow company procedures related to safety, confidentiality, and workplace professionalism.
  • Maintain a positive, helpful, and solution-focused attitude.
  • Perform other duties and special projects as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Prior customer service, receptionist, office, or administrative experience preferred but not required.
  • Strong verbal and written communication skills.
  • Professional phone etiquette and interpersonal skills.
  • Basic computer skills, including Microsoft Office or similar systems.
  • Ability to manage multiple priorities while remaining organized and calm.
  • Dependable, punctual, and comfortable working on-site.
  • Ability to maintain confidentiality and use good judgment.


Working Conditions*

Mostly stationary work with occasional movement throughout facilities to access files, chambers, office machinery, etc. Frequently lifting and carrying up to 10 lbs. and occasionally lifting up to 50 lbs. Use of hands to hold, lift and handle materials. Occasional climbing, bending and squatting.
