What this job involves –
The day-to-day financial management and administration duties for Phoenix
Shopping Centre and Altone Park, in accordance with duties identified within the Management Agreement.


You will take responsibility in managing the financial and administration
processes to the very highest of professional standards to maximise the net
return to the Owner.


You will be responsible for:
• Implementation of all responsibilities as specified in the Management
Agreement
• Assist the Centre Manager with the preparation and analysis of accrual
income/expenditure budgets, outgoings recoveries, forecasts and audits in
accordance with the Owner’s critical dates
• Provide all necessary financial support to the Centre Management team
ensuring timely accurate reporting, forecasting and analysis to allow
informed decision making
• Provide financial information to a wide range of stakeholders including
owners, head office, employees, retailers and authorities as directed
• Prepare end of financial year variable outgoings audit and liaise with Auditors
to ensure audit letters are accurate and issued as per required timeframes
• Through CALA raise rental invoices, sundry and interest charges and any
lease administration
• Check all rental statements before sending to tenants to ensure accuracy
• Process all applicable charges for tenants in accordance with the lease and
calculate and charge interest to tenant accounts when applicable
• Raise purchase orders and set up of contracts in MRI when required and
manage outstanding purchase orders report
• Undertake reconciliation of tenant accounts when required
• Ensure all AP Invoices are processed in a timely manner and coded to the
correct account code. Follow up any issue raised by contractors in relation to
their invoice. Ensure Operations Manager/Centre Manager has approved
invoices before authorisation for payment
• Compilation of tenancy set up form’s, sundry charges & credits etc. and any
other forms required by Accounts Department for sign off by Centre Manager
• Manage and actively pursue rental arrears. Update Portfolio Accountant with
Lease and/or operating costs information in a timely and accurate manner
pursuant to the Lease
• Daily EFT receipting allocations
• Manage daily retailer and tenant issues as required
• Assist the Centre Manager with lease administration including preparing
necessary paperwork for new lease setups and assignments to ensure the
tenancy schedule remains up to date
• Ensure Owner receives budgeted monthly cash flows
• Administrative support to the Centre Manager to ensure the operation of the
centre to the very highest of professional standards
• Maintain accurate internal reporting including assisting with public liability
issues
• Ensure Risk Management practices are applied to minimise loss exposure to
the Company
• Assist with the efficient collection of monthly sales figures from each retailer,
audited annual sales figures, preparation of percentage rent register and
invoice/collecting percentage rent where required
• Ensure the information within the tenancy schedule is accurate at all times
• Ensure an accurate record of all tenancy matters are maintained and
correspondence and official documentation if filed in the appropriate files
• Attend management meetings
• Be fully conversant with the law and Retail Tenancy Act as it relates to retail
leases
• Any other duties as required
