JOB SUMMARY:
The Executive Assistant will provide high-level administrative support to the Executive Leadership Team. This role will coordinate and manage executive scheduling, prepare, and organize important materials, and support meetings.
ESSENTIAL/PRIMARY DUTIES:
Serves as a first point of contact for executives as administrative support for schedules, meetings, events, and travel.
Maintains professionalism and strict confidentiality with all materials.
Manages professional scheduling for executive staff, including agendas, mail, email, phone calls, client management and other company coordination.
May be involved in unique projects and demands that require expert planning, coordination, leadership, and organizational skills.
Manages day-to-day workflow of additional tasks and activities supporting multiple team members as needs arise.
Prepares meeting materials including assisting with presentations, handouts, and other related materials.
Coordinates domestic and international travel coordination and activities, including accommodations, transportation, and meals.
Assists with expense and credit card reconciling.
Works closely with Executive Assistant team on cross-functional work.
Serve as the primary point of contact for the Cincinnati office, coordinating day-to-day administrative operations, office logistics, vendor communication, and basic facilities needs to ensure a smooth and professional workplace environment.
Flexibility and understanding of variable peak workloads, time zones, and working hours and ability to effectively work in a high-pressure, fast-paced environment.
SECONDARY DUTIES:
Performs other duties as needed/assigned.
Provides additional assistance to other departments when confidentiality is of extreme importance.
Assists with special projects, events, and community-related activities.
Provides back-up assistance to other administrative support team members as needed.
EDUCATION and/or EXPERIENCE:
Associate degree (A.A.) in business administration, or related field. 4-6 years of administrative or business-related experience.
COMPETENCY and/or SKILL:
Ability to manage/maintain confidentiality on all levels
Exceptional written and spoken communication skills
Exceptional computer skills
Work collaboratively with a variety of people, including executives, teammates, and external contacts
Organizational skills, multi-tasking ability, confidence in prioritizing work and decision-making
Professional attire is necessary for various occasions
