Job Overview:

Executive Administrative Assistant / Equipment Coordinator

Schedule:Monday–Friday, 8:00 AM–5:00 PM |Travel:Less than 5% |

Salary: $31-$33/hour

Position Summary

We are seeking an organized, proactiveExecutive Administrative Assistant / Equipment Procurement & NPI Coordinatorto support executive leadership and NPI engineering teams across multiple locations. This role combines executive administration, equipment procurement, project tracking, and cross-functional coordination.

Key Responsibilities

  • Provide administrative support to executives, management, and engineering leadership.

  • Manage calendars, meetings, travel, scheduling, documents, and confidential information.

  • Coordinate equipment procurement for NPI engineering teams across multiple sites.

  • Maintain equipment tracking lists and monitor requirements, orders, approvals, and deliveries.

  • Track PRs, POs, Ivalua processes, approvals, and order releases.

  • Coordinate equipment deliveries and confirm receipt with engineering teams.

  • Communicate with Procurement, Engineering, Finance, Operations, and suppliers to resolve issues and delays.

  • Support inventory, stocking, equipment scheduling, site coordination, and other administrative activities.

  • Support procurement and coordination of NPI manufacturing equipment.

  • Create reports and tracking tools and identify opportunities to improve or automate workflows.

  • Proactively follow up on open items and ensure tasks are completed on time.

Qualifications

  • 3+ years of experience in executive administration, procurement, project coordination, or a related field preferred.

  • Strong organizational, communication, follow-up, and problem-solving skills.

  • Proficiency with Microsoft Office and Google Workspace.

  • SAP and/or Ivalua** **experience preferred but not required.

  • Ability to manage multiple priorities and work effectively with cross-functional teams.

  • Strong attention to detail and ability to work independently.
