The primary function of the District Warranty Administrator is to oversee all warranty claims submitted and payments received for the District Locations.  


1. Maintains working relationship with all manufacturers and/or distributors of warranted trucks, parts, and services:

A. Maintains a working understanding of all warranty policies and procedures of such vendors.

B. Communicates with vendors on a regular and as-needed basis to discuss all warranty claims, training and procedures.

C. Maintains necessary warranty certification requirements as offered by manufacturers and/or distributors.

2. Maintains working understanding of company warranty policies as issued and amend from time to time. Assists Service and Parts Management in tailoring such policies to achieve maximum efficiency and profitability of warranty services.

3. Maintains friendly working relationship with customers and company employees, provide assistance/information/instruction as necessary to expedite warranty claims and preserve good relationships. Keeps customers advised of the status of warranty claims in a consistent and timely manner. Troubleshoots warranty problems/questions for customers and/or company employees in courteous manner.

4. Collects all required warranty documentation from customer and/or company employees and submits with completed claim forms to the respective manufacturers within 10 days of completion of work by the Company.

5. Collects all parts related to warranty claim, clearly tagging with names, dates, parts numbers, claim numbers, etc., preparing for shipping and/or storage in warranty storage area. Forwards all parts per instructions from manufacturer/distributor in timely manner. Maintains warranty storage area in clean, organized manner.

6. Controls all warranty claims made by the Company, maintaining the aging of such claims within established standards. Follow-up to ensure payments and credits are received in a minimal amount of time. Receives and posts all warranty payments. Coordinates with Credit Manager on such receipts, including customer co-payments and/or payments to be credited in future. Issues credits as necessary to customers on warranty payments received. Authorizes issuance of on-the-spot warranty credit within limits as set by manufacturers, distributors, and/or the Company.

7. Prints warranty work orders. Posts mechanic hours from time cards on to warranty repair orders. Coordinates with Shop Clerk on pay slip reporting of such mechanic hours. Maintains good working knowledge of company business and payroll systems.

8. Generates and maintains customer warranty files in timely, orderly and consistent manner, including new truck warranty records. Distributes all warranty information, including updates, or changes in policies to customers and company employees.


Ability to read and comprehend instructions and information. 
High school diploma or the equivalent. 
Some knowledge of heavy truck parts. 
Two years’ experience in a general office position.
Ability to use computer systems, ten-key calculator, microfiche, and read vendor catalogs. 
Excellent organization and communication skills.


This position involves both sedentary and other work.  For part of the shift, s/he will work at a desk in an office setting, doing paperwork, filing, and key entry on a Video Display Terminal.  For part of the shift, s/he will climb stairs, climb in and out of vehicles, stand, stoop, kneel, crouch, and reach, moving about the dealership facility to communicate with managers, employees, and customers.  Will be exposed to noise, dust, exhaust fumes, and a variety of other hazardous and nonhazardous materials.  Must be able to lift 35 lbs. unassisted on a regular basis.
