Location: Hybrid (3 days onsite / 2 days remote) – Spring House, PA or Raritan, NJ

Position Summary

The Contract Liaison / Strategist provides strategic operational guidance and partners directly with Discovery Sciences (DS) project leaders and R&D teams to manage the end-to-end contracting agreement and procurement process. This role ensures timely execution of statements of work, vendor agreements, purchase requisitions, and purchase orders while upholding strict healthcare compliance standards.

Key Responsibilities

Contracting & Sourcing Management

  • Act as strategic partner and project monitor for R&D project requesters, managing requests across internal sourcing, supplier contracting, legal, and external vendors.

  • Process, review, modify, and track Confidential Disclosure Agreements (CDAs) and Non-Disclosure Agreements (NDAs).

  • Enter Scopes of Work (SOWs) into procurement portals (e-Marketplace / eMP / e-MC) to generate contracts and Purchase Orders (POs) based on project risk and cost assessments.

  • Accurately designate procurement categories and commodity codes, coordinating closely with procurement teams on non-standard and "grey zone" requests.

  • Maintain a centralized project tracking system, reporting progress, identifying bottlenecks, and acting as an expediter when requests stall in Requisition-to-Pay (R2P) or legal workflows.

  • Manage healthcare compliance components for all relevant contracts and POs, ensuring proper healthcare provider (HCP) / NPI documentation and compliance submissions.

Procure-to-Pay (P2P), Purchase Orders & Invoicing

  • Create, submit, and oversee Purchase Requisitions (PRs) and Purchase Orders (POs) for expense and capital projects (e.g., lab services, prototype components, sample raw materials, scientific tools, and catalog supplies).

  • Coordinate change orders, quantity/schedule modifications, owner reassignments, PO closures, and cancellations.

  • Investigate and resolve invoice mismatch discrepancies and billing issues, securing necessary stakeholder approvals to release payments.

  • Provide process improvement feedback and user training on PR entry, invoice reconciliation, and contracting workflows.

Supplier Onboarding & Maintenance

  • Initiate and oversee vendor onboarding via vendor management systems (e.g., ARAVO), ensuring supplier banking information, certifications, and required tax details are validated.

  • Troubleshoot system discrepancies between supplier portals and enterprise purchasing catalogs (e.g., supplier reactivation, profile synchronization).

Operational Strategy & Stakeholder Support

  • Align project deliverables with Standard Operating Procedures (SOPs), regulatory standards, and internal timelines.

  • Facilitate clear communication across Discovery Sciences, Therapeutic Areas (TA), Clinical Development, Regulatory Affairs, and Global Commercial teams.

  • Assist with project documentation version control (SharePoint), governance presentation materials, and portfolio status reports.

Candidate Qualifications & Requirements

  • Experience: 2–5+ years of hands-on experience in contract management, procurement liaison support, or sourcing coordination within the Healthcare, Pharmaceutical, or Biotech industry.

  • Education: Bachelor’s degree is NOT required; relevant, direct work experience is prioritized.

  • Core Competencies:

    • Demonstrated proficiency managing Purchase Orders (POs), Purchase Requisitions (PRs), and end-to-end contract lifecycles.

    • Direct experience interfacing with external suppliers and internal cross-functional partners (Procurement, Legal, Finance, R&D).

    • Familiarity with healthcare compliance documentation (HCP/NPI tracking).

  • Systems Proficiency:

    • Hands-on experience with procurement and supplier management platforms (e.g., eMarketplace/eMP, ARAVO, or equivalent P2P/ERP suites).

    • Strong skills in Microsoft Excel (project tracking), SharePoint, and document management tools.

  • Work Logistics:

    • Ability to work hybrid on-site (3 days/week) in Spring House, PA or Raritan, NJ.

    • Must be equipped to operate under a Bring Your Own Device (BYOD) framework.
