Summary: Reports directly to Sales Operations Manager with responsibilities that include but are not limited to the preparation of MSO/Titles, dispatching vehicles to transportation, preparation and distribution of dealer reporting, answer/direct phone calls and inquiries, coordinate tours and greeting of visitors, backup/cross train with Inside Sales Specialists as needed.

Duties and Responsibilities:

  • Answer incoming phone calls, greet, and direct visitors, accept and distribute mail, locate personnel for internal purposes as well as external customers/visitors.
  • Preparation and distribution of weekly open orders reports to all dealers and national accounts.
  • Preparation and distribution of open quote reports to Regional Sales Managers and other key personnel weekly.
  • Verification of invoice pricing in coordination with accounting.
  • Prepare and distribute chassis and body MSO/titles to dealers and national accounts.
  • Dispatch vehicles to transportation companies and tracking of delivery to end destination.
  • Support/cross train with Inside Sales team as needed to perform assigned tasks which could include but are not limited to quotation preparation, order entry, dealer communications, predicted weight calculation preparation, specification review/verification.
  • Meet minimum standards of housekeeping per assigned department.
  • Be compliant with all the rules of conduct and attendance per the company handbook.
  • Will be required to perform other duties as requested, directed, or assigned.


  • Ability to read, write, comprehend, and verbally communicate simple instructions, short correspondence, and memos in English.
  • Ability to effectively present information in one-on-one and small group situations to other employees of the organization.
  • Effective written and interpersonal communication skills
  • Knowledge of phone systems, e-mail, and internet browsing skills required.
  • Understanding and carrying out oral and written instructions.
  • Close attention to detail.
  • Setting work priorities.
  • Working independently in the absence of supervision.
  • Establishing and maintaining cooperative working relationships with those contacted on a day-to-day basis.


  • High School Graduate with some college and preferably five (5) years of clerical and reception experience.

  • Safety glasses if walking in plant vicinity.
  • Earplugs if walking in plant vicinity.
