Job Overview:

**POSITION OVERVIEW

**

**

**

Perform general office and accounts receivable functions for all divisions, as well as, order entry and job cost support for the Grain and Livestock divisions.

**

**

**ESSENTIAL RESPONSIBILITIES

**

**

**

  1. Receive visitors daily having business with the company, contact personnel requested by the caller, announce visitors’ presence and arrange for escort if necessary.

  2. Continuously perform job cost duties for Dairy and Grain divisions to include entering new jobs, validating accuracy of job tickets with division management, enter data from job tickets to job summaries, and prepare completed jobs for closing by Accounting Manager; provide reports to management and sales as needed.

  3. Prepare invoices to include progress billings from pick sheets, job tickets, contracts, etc. for all divisions; review invoices for accuracy and send to customers.

  4. Maintain contracts file for Dairy and Grain divisions.

  5. Process fully Farm Plan payments and batch settlement, credit card payments, checks, and cash receipts to the computer and post; apply corrections to customer accounts as directed.

  6. Prepare and distribute customer account statements monthly.

  7. Prepare bank deposits for deposit; make daily deposits electronically.

  8. Validate commissions to be paid and prepare weekly commission reports for payroll processing of payment to commissioned employees.

  9. Open, sort, and deliver incoming mail timely, prepare outgoing mail, and transport to mailbox daily for pick-up; accept and sign for registered and special delivery mail intended for management or office personnel.

  10. Answer phone daily in the afternoon hours; screen calls as requested; serve as backup for morning hours as needed.

  11. Facilitate computer system and phone system problems between the company and outside support companies.

  12. Assist other office staff in general office duties.

  13. Maintain a clean, orderly and safe work area, including general office areas and lobby.

  14. Perform all other duties as assigned.

**QUALIFICATIONS

**

**

**

High School diploma or general education degree (GED); or minimum 2 years related experience and/or training; or equivalent combination of education and experience as determined by the Accounting Manager or General Manager; ability to read and interpret documents, manuals, procedures, etc.; able to calculate simple mathematical equations using whole numbers, fractions, and decimals; ability to compute percent; ability to communicate in written form; ability to speak effectively over the phone, in person, and before groups of employees; ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to operate a computer, calculator and/or adding machine, and a variety of other general office equipment; proficient in Microsoft Word, Excel, and Outlook.
