B2B Collections Specialist

Electrical Components International (ECI) is seeking a B2B Collections Specialist to join our team.

The B2B Collections Specialist is detail-oriented in managing the cash application process and generating insightful financial reports. The B2B Collections Specialist will apply cash received from customers in a timely manner.

Key Responsibilities

The B2B Collections Specialist will perform routine analysis to resolve unapplied cash, reconcile payments received, investigate expectations and/or work with customers to resolve discrepancies. This person will identify areas of opportunity and ways to improve and streamline processes. The Collections and Reporting Analyst will develop daily, weekly, and monthly past due AR reporting. In this role, you will:

  • Manage B2B Customer Portfolio: Oversee accounts receivable for a diverse B2B customer base, ensuring prompt collection of outstanding invoices while maintaining strong business relationships.
  • Proactive Collections Activities: Conduct timely outreach to customers via phone, email, and portals to follow up on overdue payments, resolve invoice discrepancies, and negotiate payment arrangements when needed; provide input on credit holds.
  • Account Reconciliation: Research and reconcile complex account issues related to partial payments, quantity variances, shipping errors, or product returns common in the electrical components sector.
  • Coordinate with Internal Teams: Work closely with sales, order management, shipping, and customer service teams to investigate and resolve billing disputes, delivery discrepancies, or contract compliance issues impacting payment.
  • Dispute Resolution Expertise: Efficiently handle common industry-specific disputes such as consignment inventory issues, delivery schedules, technical specifications, or warranty claims affecting payments.
  • Support Continuous Improvement: Participate in process improvement initiatives related to invoicing accuracy, electronic payment adoption, and customer onboarding to minimize future collection issues.
  • Other duties as assigned.

Qualifications


Education & Experience

  • Bachelor’s degree in business or related field.
  • 3+ years of B2B collections experience, preferably in a manufacturing or industrial environment.

Knowledge, Skills & Abilities

  • Knowledge of B2B collections principles, strategies, and best practices.
  • Strong verbal and written communication skills for professional customer interactions.
  • High attention to detail and accuracy in account reconciliation.
  • Analytical thinking to identify account trends, risks, and root causes of payment delays.
  • Strong organizational and time management skills to handle multiple accounts and priorities
  • Proficiency with Microsoft Excel.
  • Ability to collaborate cross-functionally with sales, finance, customer service, and operations teams.
  • Ability to handle difficult conversations professionally and diplomatically, to work independently while managing a large customer portfolio, and to maintain a customer-focused approach while ensuring timely collections.
  • This position requires interaction with Spanish-speaking customers; Bilingual in English and Spanish is highly desirable.
