The Assistant Sales Coordinator/Administrative Support role is a hands-on position within the sales group that reports to the Sales Coordinator with dotted line reporting to the Vice President Sales. The candidate will be responsible for maintaining organized sales records, producing accurate reporting, order entry and communicating effectively with sales representatives and the Vice President Sales. Concentric encourages cross training whenever possible, so this role will also be responsible for accounts payable and accounts receivable as well as several functions that are part of the month end close process; including journal entries, revenue recognition, reconciliations and analysis.

Key Job Responsibilities:

  • Maintain organized sales records and report effectively to the senior management team.
  • Support senior management by completing orders and keeping customers informed of delays and
  • delivery dates
  • Establish active communication and engagement with sales representatives to ensure that orders
  • are processed promptly
  • Contribute to overall customer satisfaction by promptly answering emails and handling orders by
  • phone
  • Creation and distribute quotes/presentations to assist sales team in closing business
  • Monitor open accounts for collection efforts.
  • Resolve client-billing problems and mitigate accounts receivable delinquency in a timely manner.
  • Run the accounts payable process
  • Participate in key areas of the monthly financial close to ensure timely and accurate reporting
  • on financial results
  • Other duties as assigned by Sales Coordinator and Vice President Sales

Requirements

  • 4 or more years of experience supporting sales organizations
  • Strong computer skills, including proficiency in Microsoft products (Excel, Word, Access and
  • PowerPoint)
  • Strong communication, problem solving, and analytical skills.
  • Ability to organize his/her own work and work independently, with limited supervision.
  • Prior accounting/bookkeeping experience is a plus.
  • Ability to work with individuals from diverse backgrounds and with diverse needs, and across remote offices.
  • Ability to clearly articulate ideas (both written and verbal) to both internal and external customers and to listen effectively to customer needs
  • Ability to develop and maintain strong workplace relationships with an emphasis on customer satisfaction.
  • Ability to work collaboratively with other departments toward the greater good of the organization.
  • Ability to adapt to a fast-changing environment.
  • Must have attention to detail with an eye for accuracy.
  • Capable of identifying and completing critical tasks independently with a sense of urgency.
