Assistant Facilities Manager – JLL

What this job involves: JLL is seeking an Assistant Facilities Manager for an on-site role in Nashville, Tennessee. In this position, you will support the delivery of integrated facilities management services across assigned properties, helping to ensure operational excellence, client satisfaction, financial performance, and safe, efficient building operations. This role plays a key part in managing vendors, supporting maintenance programs, coordinating workplace services, and driving collaboration across teams to deliver a high-quality workplace experience for clients and occupants.

What your day-to-day will look like:

  • Support daily site operations in alignment with client contracts, company policies, and operational procedures.

  • Coordinate vendors and service providers for building maintenance, including janitorial, HVAC, plumbing, electrical, carpentry, and critical systems services.

  • Assist with work order management, preventive maintenance activities, and small project coordination across the site.

  • Partner with the Facility Manager to support client initiatives, operational improvements, and workplace service programs.

  • Monitor vendor performance, purchase orders, invoices, and site-related financial reporting to support budget and cost management goals.

  • Help maintain compliance with safety standards, local regulations, and JLL operational policies while promoting a safe work environment.

  • Support workplace and soft services including meeting setup, logistics, events, reception coordination, mail services, and office reconfigurations as needed.

Required Qualifications:

  • Associate’s or Bachelor’s degree in Facilities Management, Property Management, Business Administration, or a related field.

  • Minimum of 2 years of supervisory or facilities management experience in commercial real estate, hospitality, corporate facilities, or a related environment.

  • Experience coordinating vendors, contractors, and building service operations.

  • Strong organizational, communication, and problem-solving skills.

  • Proficiency with Microsoft Office Suite and general facilities management technology platforms.

  • Ability to manage multiple priorities in a fast-paced, client-facing environment.

  • Working knowledge of building systems, maintenance operations, and workplace safety practices.

Preferred Qualifications:

  • Experience supporting integrated facilities management (IFM) programs in a corporate or commercial environment.

  • Familiarity with budgeting, forecasting, invoice management, and financial reporting processes.

  • Knowledge of preventive maintenance programs and work order management systems.

  • Experience supporting workplace services such as events, moves, meeting coordination, or occupancy services.

  • Demonstrated ability to build strong client and vendor relationships.

  • Understanding of compliance standards, safety protocols, and operational best practices.

  • Experience working collaboratively across cross-functional teams to support operational excellence and continuous improvement.

Location: Nashville, Tennessee

Work Shift: Monday through Friday, 8:00 AM to 4:00 PM
