This position focuses on the maintenance, management and support of Quality Management Systems across the organization. Responsibilities include ensuring system stability, managing compliance data, and supporting cross-functional teams in the effective use of these system platforms. The role requires strong attention to detail, collaboration with internal stakeholders, and proactive issue resolution to maintain high data integrity. Maintenance Analyst handles day-to-day operations and system maintenance. The Maintenance Analyst role ensures that existing Quality Systems function smoothly and remain compliant, allowing for data integrity and consistency.
Duties and Responsibilities:
- System Management & Maintenance:
- Manage and maintain Quality System and Food Safety document management systems, including Trace Gains, SAP-QM, SAP PLM, SharePoint, Poka, Redzone, and other applicable QMS systems, as needed.
- Ensure data integrity and accurate record-keeping within all relevant quality management systems.
- Serve as the first point of contact for local TraceGains support.
- Compliance & Reporting:
- Assists in the development of standardized reporting structures for compliance and operational data.
- Work with Business Intelligence (BI) teams to maintain and test compliance reporting tools.
- Manage traceability and mock recall assessments.
- Act as the primary support for maintaining regulatory compliance systems in collaboration with the Corporate Regulatory Specialist.
- Maintain and manage proprietary customer platforms (e.g., HEB Amigo, Sysco, Walmart). Upload and manage customer-specific quality system data to meet compliance and business requirements.
- Collect, organize, and analyze Quality and Food Safety data for reporting, audits, and compliance tracking.
- Assist in data retrieval and reporting for leadership and regulatory reviews.
- Stay updated on software developments and ensure systems are used efficiently.
- Training & Support:
- Maintain and schedule Quality Onboarding/Training Program of QA Leaders to ensure alignment with Quality Management System (QMS) requirements.
- Maintain and update the Learning Management System (LMS - CHG University) to ensure quality and food safety training materials are current.
- Support facility Quality Assurance Managers in coordinating and managing audit corrective action processes, including tracking and closing out non-conformances.
- Work with QA Directors and Food Safety teams to ensure policies and procedures in SharePoint are up to date and effectively communicated.
- Supplier & Customer Data Management:
- Maintain and verify customer specification and raw material data in applicable Food Safety and Quality Assurance (FSQA) systems. Ensure accurate and timely entry of customer and raw material specification data in applicable databases.
- Publish QA and Food Safety data for purchasing and operations to facilitate supplier management.
- General Support:
- Assist the QA and Food Safety Vice President in executing annual and long-term strategic plans.
- Assist the QA and Food Safety Director in meeting audit requirements related to Quality Management Systems.
- Act as a backup for other team members when needed.
- Performs all other duties as assigned.
Minimum Job Requirements:
Education/Certifications and Experience:
- At least 1 year of experience in quality systems.
- Bachelor’s degree in Food Science, Biology, Chemistry, or a related field, or equivalent experience.
- PCQI Certificate preferred or acquired within 3 months of the role.
- Prior experience with Quality and Food Safety software management is required.
Knowledge, Skills, and Abilities:
- Proficient use of computer, Microsoft Office (Word, Excel, and PowerPoint), and related software or application.
- Proficiency in of SharePoint, SAP, SPC and other applicable Quality and Food Safety software systems preferred.
- Strong attention to detail, ability to manage data accurately, and effective cross-functional communication.
- Ability to manage complex projects including software implementations
- Excellent written and verbal communication skills
- Self- starter and can get work done accurately with minimal supervision
- Ability to effectively interact with personnel in other departments and maintain positive working relationships.
- Ability to think independently, analyze problems, and recommend solutions.
Supervisory Responsibilities:
Working Conditions and Physical Effort:
- Primarily office-based, but regular presence in the plant is required to interact with plant operations, leadership, and staff. You may be required to visit different areas of the plant to observe operations and gather data where you will be exposed to unusual elements (dirt, dust, fumes, odors, noise).
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- May require travel up to 50% during major implementations.
