Job Overview:

We are seeking a hardworking, dedicated, Administrative Assistant to join our vibrant team. The ideal candidate will have a good sense of humor, be flexible, and will be an integral part of our team. In this position, the Assistant will handle all of the usual administrative tasks such as calendaring, travel arrangements, meetings onsite and offsite, expense reports, etc. for the executive and their team. A highly organized assistant who can go with the flow while maintaining a high level of confidentiality, is our ideal candidate. Teamwork and the ability to work with the other assistants within the department and the company, as well as outside clients, is a must.

Job Description

Key Responsibilities

  • Quickly identify and drive the Executive's and group’s priorities, and business practices to proactively respond to daily issues and support needs.
  • Maintains calendars for the Executive and Executive’s reports, using knowledge and judgment of the groups priorities.
  • Executes research and prepares reports.
  • Composes letters, reports and presentations.
  • Makes travel arrangements, via the Corporate Travel department.
  • Coordinate on-site/off-site events, as needed.

Functional Knowledge

  • Has a comprehensive understanding of the Microsoft suite of products and can adapt to new software applications as needed. Advanced PowerPoint skills required.

Organization Awareness

  • Able to understand, appreciate and navigate cross-functional teams to achieve shared goals.


  • May take the lead on certain group projects, objectives, and events. Coordinate with others outside of the group to accomplish outcomes and provide assistance and subject matter guidance to others within the organization.

Problem Solving

  • Able to independently resolve issues effectively and exercises judgment within generally defined practices. Comfortable with asking questions and seeking advice when needed.
  • Able to work on a diverse set of issues and define solutions.

Detail Orientation

  • Self-driven, consistent and detail oriented to ensure quality of deliverables.

Interpersonal Skills

  • Self-awareness and demonstrates tact and diplomacy. Calm under pressure and always a professional (with the ability to see the humor in a situation).
