SUMMARY

 Provides administrative support activities to CDC’s Division of Global Migration and Quarantine (DGMQ).  In addition to clerical duties, the administrative support services shall include providing personnel and human resources consultation activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following (other duties may be assigned):

  • Communicate with CDC and DGMQ personnel, external public health partners and health officials across the US to identify technical assistance needs and coordinate logistics for delivery.
  • Coordinate travel orders, including inputting and processing in the Concur travel system.
  • Coordinate with external partners to schedule meetings and negotiate complex travel logistics for efficiency related to attending conferences, speaking events, site visits to partner offices, reverse site visits from partner offices, visits of congressional delegations, and other meetings and events that require attendance at, participation in, or the input from members of DGMQ senior leadership.
  • Support internal branch/division level correspondence & communication activities to include newsletters, organizational mailbox(es), meetings, orientations and trainings. Support my include logistics, preparation of materials, setup, and note taking, responding to partner inquiries in a timely manner
  • Assist in identifying and ordering office supplies and equipment, monthly and as needed.
  • Manage office calendars and scheduling for OD Executive leadership. Maintain the calendar for hoteling and other shared spaces to avoid double-booking of the spaces
  • Process time and attendance in the TASNet system.
  • Assist with preparing standard administrative documentation, such as small purchase requests, training requests, VSTS requests, MACCS purchases, travel requests, and leave requests.
  • Update personnel systems as staff in-process, change locations, mail stops, etc.
  • Perform routine printing, copying, and filing.
  • Prepare detailed analyses and estimates of funding needs to assist management with operation planning and decision-making.
  • Review branch list of undelivered orders (UDOs), researches the status of those line items, and provides the results to branch leadership to inform actions needed. This can entail communication with OFR, cooperative agreement awardees, universities or other recipients of funding.
  • Conduct monthly assessments of supply and equipment needs and provide recommendations for purchasing.
  • Manage division mail distribution and mailroom maintenance.
  • Manage multiple tracking systems to track and maintain files regarding property inventory, work requests, and office and storage space using CDC systems. Provide information to complete reports of survey for any property that cannot be located or accounted for. Monitor hardware such as the OD shared printers, copiers, fax machines to keep the machines in working condition

 

Personnel and human resources consultation activities may include:

  • Prepare, analyze, execute and follow up on personnel actions; liaise with DGMQ human resources on behalf of branch.
  • Review personnel admin e-systems to match the branch staffing plans.

SUPERVISORY/MANAGEMENT AUTHORITY

  • No supervisory/management authority.

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree or higher preferred in Business Administration, Business or related field
  • Minimum of 3-5 years of experience of administrative experience.
  • Concur travel system experience required.
  • TASNet system experience required.
  • VSTS system experience required.
  • Office Procurement experience required.
  • Executive calendar management required.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Proficient in Microsoft Office applications
  • Ability to manage multiple high-priority assignments
  • Possess excellent communication and organizational skills with the ability to multitask, set priorities, and meet deadlines
  • Successfully pass a federal background check and a drug screen
  • Pursuant to U.S. Presidential Executive Order 14042, Cherokee Federal is now requiring that all employees be fully vaccinated for COVID-19 by December 8th.  An individual is considered fully vaccinated two weeks after the second dose of a two-dose vaccine (i.e., Moderna or Pfizer) or two weeks after a single-dose vaccine (i.e., Johnson & Johnson).  As a prospective employee, you will fall under this requirement and proof of vaccination will be needed for on-boarding, should you be selected. WORK ENVIRONMENT

  • Work is conducted in a climate-controlled office environment. 
  • The environment may require prolonged sitting, prolonged standing, and light lifting up to 20 lbs.
