Administrative Coordinator – Executive Director Supportive Role

As a key member of the US Value & Access team, the Administrative Coordinator (AC) will be primarily responsible for complex administrative support activities supporting multiple Executive Directors/Directors for the Market Access team. The Market Access team is responsible to communicate the clinical and economic value of Amgen products to key Payers, the Government segments, Integrated Delivery Networks (IDNs), and Independent Physician Associations (IPAs), to ensure coverage of Amgen products and thus support access for appropriate patients. This role requires an experienced Administrative Coordinator who enjoys working in a fast-paced fluctuating environment and can ensure timely coordination of tasks for multiple executives.
Key responsibilities include:
Proactively manage executive calendars with multiple priorities, identify conflicts and creatively resolve, schedule cross functional meetings and respond to meeting requests
Maintain field contact lists and assignments
Coordinate web-interface meetings, capture, transcribe and distribute meeting minutes
Coordinate domestic/international travel arrangements, prepare itineraries, process expense reports
Coordinate mailings and courier/deliveries
Provide backup support to designated AC
Update and maintain dues, memberships, subscriptions Maintenance and retrieval of filed information and correspondence to ensure immediate access to information
Assisting with preparation of presentations and meeting agendas
Coordinating processes including invoicing, purchase orders, mailings and courier/deliveries
Maintaining department email distribution lists
Maintaining department-wide rosters, organizational charts, and account alignments Collaborating with fellow US Value & Access Administrative Coordinators and Senior Executive Assistants to complete department-wide needs
Preparing agendas and taking action-items as required
Note-taking and meeting transcription
Acting as sole on-site Administrative Support for department-wide semester meetings

Basic Qualifications:
Associate’s degree and 2 years of administrative experience
OR
2 years in a technical school setting with hands-on experience
High school diploma / GED and 4 years of administrative experience
Preferred Qualifications:
Preferred Amgen or Biopharmaceutical/ technology experience
2+ years in an administrative support role
Self-starter who can function autonomously
Excellent communication skills (verbal and written)
Experience providing administrative support to remote staff
Interpersonal skills to effectively establish and maintain professional relationships, partner with colleagues, and achieve required business outcomes
Demonstrated strong abilities in prioritizing, managing multiple tasks in order to meet deadlines and priorities, tracking and reporting the status of assignments and activities
Ability to demonstrate sound judgment, solutions-oriented, problem solver
Knowledge of computer software (Microsoft Word, PowerPoint, etc.)
Knowledge of MyBuy, SAP, SKYPE, WebEx, MSTeams, SharePoint and Concur
Experience handling multiple calendars including coordination across multiple time zone
