Background & Purpose of the Job

Customer Development (CD) is what we call our Sales organization at Unilever. CD works closely with customers to pioneer new products, build categories, and deploy best-in-class retail and shopper capabilities.

The West Division Administrative Assistant position is responsible for supporting the West Grocery Division Director and other leaders in the West Division with tasks such as travel, calendar management, meetings, travel and expense report management, onboarding of new hires, coordinating Sales Samples, managing Industry Association relationships and other administrative duties.

This position is also the Office Manager and Safety Officer for the Pleasanton, CA office, responsible for paying bills, managing landlord relationship, office safety and security lead, etc.

Success in this role is accomplished by deeply understanding the needs of the West Division team and meeting them in a highly proactive and organized way.

This position is located in Pleasanton, CA and reports to the West Grocery Division Director.

Responsibilities:

  • Office Manager and Local Safety Officer for Pleasanton, CA office. Responsible for managing landlord relationship, paying bills, and ensuring all safety and security protocols are executed.

  • Proactively manage the calendar of the Director and ensure travel and meetings are properly set up to ensure timeliness and minimize travel costs.

  • Develop, monitor, and communicate the division travel and expense budget

  • Lead communicator and management of industry associations meetings (CGA, WAFC, etc) including budgets, sponsorships, attendance, etc.

  • Maintain and communicate division roster, town hall decks, division announcements

  • Maintain all systems access and audit requirements

  • Onboarding new hires – including all forms, building onboarding calendar, setting up new hire meet and greet meetings

  • Coordinate Sales Samples

What You’ll Need To Succeed:

  • Must be organized and detail oriented

  • Must be able to manage multiple tasks and requests

  • 5+ years of admin experience

  • Strong interpersonal skills

  • Strong skills in Microsoft office and ability to learn new programs and systems

  • Must be proactive with ability to work without constant supervision
