Essential Job Duties and Responsibilities

  • Meet and greet customers and visitors, provide support, and respond appropriately to general inquiries and requests from internal and external customers.
  • Act as a shared resource providing support to the Nordson Medical divisional leadership team as requested; maintain confidence by keeping information confidential.
  • Review, revise, & develop monthly update reports using Microsoft Office Applications; demonstrates high competency in Microsoft Word, Excel & PowerPoint in an executive setting.
  • Coordinate and execute site employee engagement events under the direction of the leadership team.
  • Coordinate and execute site giving back events as part of the Nordson Impact team.
  • Schedules/coordinates meetings, conferences, special events, and travel arrangements. Maintains assigned calendar(s).
  • Deals directly with senior management within and outside the corporation. Assists on divisional level projects.
  • Prepare/modify documents including correspondence, reports, memos, and presentations in support of the leadership team.
  • Setup and coordinate meetings, conferences, and town halls including meals/beverages as required.
  • Coordinate the logistics of Executive and Board Meetings - preparation of materials and packets, order, and setup of refreshments, prepare meeting space, and handle all details to make sure the meeting is well coordinated.
  • Maintain office supply budget and inventory.
  • Assist with coordination and execution of weekly New Hires and orientation tasks.
  • Provide back up support as requested to the Customer Service team to ensure the highest level of responsiveness and the best experience for our customers in times of high volumes.
  • Support staff in assigned project-based work as required.
  • Performs other duties and responsibilities as assigned.

Education and Experience Requirements

  • Associate degree in Sales, Marketing, Business, or a related field is required.
  • Minimum of 3-5 years of professional experience in an Administrative Assistant role is required.
  • Experience interacting with external customers and/or the public is required.
  • Advanced proficiency in all MS Office applications, including Microsoft Excel, Word, PowerPoint, and Outlook is required. Experience with and ERP system is a plus.
  • Proven track record of representing senior management levels/offices with professionalism and discretion both internally and externally is required.

  • Strong attention to detail, accuracy, with the ability to establish priorities and meet deadlines.
  • Must be able to work in a fast-paced environment and take appropriate action.
  • Excellent verbal and written communication skills and ability to interact with individuals at all levels of the organization.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
  • Must be able to handle multiple tasks/projects and manage priorities accordingly.
  • Flexible to respond to urgent project needs.
  • Excellent organization, planning, and time management skills.
  • Demonstrated personal ownership of tasks and follow through to get the required results.
  • Takes personal responsibility for making decisions or taking action when a quick response is required.

Base Salary Range for this position is $18.30 to $21.53 and bonus target is 3%; shift premium may be available depending on shift associated with the specific job opportunity. Benefits include Medical, Rx, Vision, Dental, and Health Savings Account (HSA), Retirement and Security benefits including 401k and Life Insurance. In addition to Paid Time off and paid Holidays, each employee receives 16 hours paid time each calendar year to perform volunteer services for Nordson-sponsored events.
