APTIM currently has an opening for an experienced Administrative Assistant. The selected candidate will have the opportunity to work independently and be able to work in a team setting within a dynamic work environment.

The targeted salary for this position is $50K.

Key Responsibilities/Accountabilities:

  • Provide administrative support for the APTIM Greenwood Village Office and the corporate proposal team
  • Manage front desk in office
  • Handle information requests, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and coordinating meetings
  • Meet, greet, sign-in, and escort visitors, as well as provide access and support to individuals, as needed
  • Open, sort, and distribute incoming correspondence and assist with outgoing mail
  • Ensure employees and staff are properly badged
  • Send in requests to facilities and building management for support and services
  • Ensure office cleanliness is maintained (e.g., kitchens remain clean, empty offices and cubicles are in good standing for visitor use, assist with coordination of recycle events, etc.)
  • Assist visitors with reservation systems for office space
  • Perform general office duties such as ordering supplies and setting up preventive maintenance and service calls for equipment (printers, coffee and water machines, first aid kits, etc.)
  • Perform in-house print production needs
  • Track and ensure payment of proposal consultant invoices
  • Coordinate meal orders and off-site events
  • Perform all other duties, as required

Basic Qualifications:

  • Administrative experience in a professional setting preferred
  • Needs to be able to stand for extended periods
  • Needs to be able to lift at least 25 lbs.
  • Needs to be able to work in person in the GWV Office
  • Excellent time management skills required in order to deal with multiple and concurrent activities, some of which will be deadline driven
  • Readily learns programs/systems/technology used for collaboration
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Strong attention to detail
  • Excellent written, verbal, and interpersonal skills
  • Good communication and organization skills
  • Accepts and adapts to change well
  • A self-starter, motivated to contribute to the group
  • Able to maintain confidentiality of employee sensitive material
  • APTIM strongly recommends, but does not require, that its employees receive vaccination against COVID-19. We do require employees to provide information about their vaccination status, whether vaccinated or not.
