Schedule: Monday-Friday, 7:00 AM - 3:00 PM

Position Overview

Seeking a reliable Administrative Assistant to support daily office operations in a fast-paced environment. This role will provide administrative and clerical support to the Office Manager while ensuring excellent customer service for visitors, customers, and drivers. Responsibilities include data entry, answering phones, processing paperwork, handling customer requests, and supporting various office functions.

Key Responsibilities

  • Provide administrative support to the Office Manager and facility operations.
  • Perform clerical duties including filing, document management, and data entry.
  • Answer incoming phone calls and direct inquiries appropriately.
  • Take customer orders, respond to requests, and assist with issue resolution.
  • Check in drivers, visitors, and customers upon arrival.
  • Maintain customer and vendor records and assist with account setup.
  • Support onboarding and administrative aspects of the new hire process.
  • Process purchase orders and assist with accounts payable activities, including invoice review and vendor communications.
  • Support accounts receivable functions by ensuring timely and accurate invoicing.
  • Prepare and maintain daily, weekly, and monthly operational reports, including payroll, production, shipping, and receiving documentation.
  • Sort and distribute mail and maintain office communications and bulletin boards.
  • Dispatch drivers and coordinate administrative logistics as needed.
  • Order and maintain office supplies, personal protective equipment (PPE), and first aid inventory.
  • Ensure compliance with all workplace policies, safety procedures, and regulations.
  • Assist with special projects and other administrative tasks as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree preferred, or 3-5 years of related administrative experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Minimum of 2 years of customer service experience.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Ability to work independently and manage time effectively.
  • Must be at least 18 years of age.
  • Previous experience in a manufacturing, industrial, logistics, or transportation environment is preferred.
