We are currently searching for an Administrative Assistant (IV) to join our BAE team in Cedar Rapids, IA. Employing some of the most talented, dedicated people on the planet is not by chance. This position performs challenging administrative activities in close relationship to the day-to-day work of engineering teams. This Administrative Assistant will work in a customer focused environment while maintaining confidential and highly responsive relationships with department leadership.
Job Responsibilities
Supports team(s) with the coordination of travel, customer meetings, expense reports and miscellaneous meeting support.
Daily managing calendars, scheduling meetings and arranging department level events.
Types and assembles data (i.e. tables, charts, reports, and memorandums) from verbal or written instruction; applies basic knowledge of equipment and tool capabilities to plan details of formatting, spacing and page layout.
Utilizes broad and comprehensive experience, skills and a thorough knowledge of organization policies and best practices
Establishes, maintains and revises departmental files
Receives and prioritizes telephone calls, business visitors, and incoming mail; routes mail and inquiries to proper personnel.
Interfaces with departmental personnel concerning routine reporting and exchange of information requiring minimal interpretation.
Track and maintain departmental budgets and assist management in determining budget requirements.
May prepare materials for departmental meetings.
Interfaces with personnel from numerous departments and possible external contacts to exchange information requiring minimal interpretation or discussion.
Assists in coordinating morale and site events
Orders supplies and other miscellaneous office equipment for assigned area
Coordinates and places catering orders for meetings and events, ensuring timely delivery, accurate headcounts, and accommodation of dietary restrictions
Other tasks as assigned
Candidate must be a U.S. Citizen
High School Diploma or equivalent
3-5 years of previous experience as an Administrative Assistant
Proficient with O365, MS Office, Microsoft Outlook and Concur
