Overview
Abacus Technology is seeking an Accounts Receivable Specialist to provide billing support for Federal government contracts. This is a full-time position.
Responsibilities
- Prepare invoices on approximately 30-40 Fixed Price, Time and Materials or Cost Plus contracts/delivery orders monthly:
- Review the contract and all associated mods and fact sheets for billing requirements.
- Create invoices in Jamis Accounting System, review all cost entries charged to ensure they are valid contract costs. If errors are found, notify proper departments for corrections.
- Ensure all invoices and supporting detail are prepared in accordance with the contract.
- Send invoices to client in accordance with contract within deadlines as requested by client.
- Work closely with Accounts Payable/Payroll/Contracts Department and/or Project/Cost Center Managers on all billing issues.
- Prepare Monthly or Quarterly Financial Management Expenditure Reports.
- Process subcontractor/consultant/staffing agency invoices:
- Prepare invoice approval forms, ensuring costs are charged to the correct project and contract line item per the terms of the agreement.
- Ensure the total amount of hours/costs charged do not exceed the total funding on their agreement.
- Maintain communications with Vendor, Project Managers and Contracts Administration if charges exceed the funded values.
- Respond to Vendor RFI’s regarding payment inquiries.
- Enter daily cash in the AR cash receipts module. Update the daily cash and aging report.
- Begin collection efforts as needed when invoices have not been paid within 45 days of issue. Follow up as needed.
Qualifications
2+ years experience in billing or accounts receivable. Experience with billing for government contracts strongly preferred. Degree in a related field a plus. Knowledge of WAWF/PIEE website helpful. Must be detail-oriented, able to communicate professionally, and able to interact with all levels of an organization. Must be a US citizen.
