Job Overview:

SUMMARY

Perform accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions. Additional responsibilities include compiling payroll data and records for reporting. Assist in the month end and year end closing process. The creation of financial transactions includes posting information to accounting journals or accounting software from such source documents as invoices to customers, cash receipts, and supplier invoices. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Review AP invoices and check requests.
  • Sort and match invoices and check requests.
  • Set invoices up for payment.
  • Process check requests.
  • Prepare and process accounts payable checks.
  • Reconcile payments; Prepare analysis of accounts.
  • Resolve invoice discrepancies.
  • Maintain vendor files.
  • Correspond with vendors and respond to inquiries.
  • Produce monthly reports.
  • Assist in month end closing.
  • Use ADP timekeeping and payroll processing; prepare weekly, bi-weekly, and monthly reporting
  • Provide payroll support to Payroll Coordinator as required
  • Safeguard Company and individual employee financial information by maintaining strict confidentiality.
  • Complete initial / recurrent training requirements in a timely manner.
  • Other duties may be assigned.

QUALIFICATIONS   

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skill, and/or ability required. 

  • HS Diploma or General Education Degree required 
  • Associates degree in accounting preferred. 
  • Prior Accounts Payable experience preferred.
  • ADP payroll experience preferred
  • Must understand Generally Accepted Accounting Principles (GAAP) 
  • Extreme attention to detail, ability to multi-task, and confidentiality is a must.
  • Effective computer skills; Microsoft Office software and other company and discipline specific software applications.
  • Ability to build positive relationships and maintain cross-functional partnerships.
  • Effective written and verbal communication skills.
  • Effective analytical and problem-solving skills.
  • Ability and willingness to work extended hours, when needed. 

 LANGUAGE SKILLS 

  • Read, write and understand the English language. 
  • Read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Write reports, business correspondence, and procedure manual.  
  • Effectively present information and respond to questions from managers, clients, customers, and the general public. 

TRAVEL

  • Occasional travel may be required; the employee filling this position must be willing to travel on short notice and possibly for extended periods.
