Job Summary

The Accounts Payable Specialist is responsible for tracking and resolving outstanding payment issues and generating weekly aging reports in a timely manner.  

Essential Job Duties

  • Reviews all invoices for appropriate documentation and approval prior to payment.
  • Processes Vendor/Supplier Invoices, utilizing a three-way matching concept.
  • Prioritizes invoices according to cash discount potential and payment terms.
  • Audits and processes credit card bills.
  • Collects credit card information and reconciles to payment posted to distribute to the Staff Accountant.
  • Processes invoices with Purchase Orders, gains approval for invoices without PO’s assigned (i.e. invoice exceptions).
  • Scans and electronically files all back up for transactions.
  • Responds to vendor inquiries and handles vendor correspondence via phone/email.
  • Reconciles vendor statements as well as, researches and corrects discrepancies.
  • Audits for duplicates and/or issues with payments.
  • Applies credit memos and identify discrepancies.
  • Assists with month end tasks.
  • Maintains files and documentation thoroughly and accurately in accordance with company policy, and accepted accounting practices for hardcopy and electronic documentation.
  • Any other duties as assigned.

Roles

  • Ensure accurate and timely payments to Vendors/Suppliers.
  • Ensure all payment requests are properly approved and validated.
  • Provide superior service to internal customers and Vendors/Suppliers.

Metrics

  • 95% of Approved invoices posted

Knowledge, Skills, and Abilities

  • High school diploma or equivalent required; College degree in Accounting, Finance, or Business Administration preferred;
  • Three or more years of Accounting/Finance experience required, preferably in Accounts Payable, or an equivalent combination of education and experience;
  • Knowledge of accounting standards and practices;
  • Excellent written, verbal, and interpersonal communication skills are required;
  • Highly organized, detailed and goal-oriented, with the ability to work under deadlines;
  • Excellent critical thinking, data analysis, and problem-solving skills;
  • Proficient computer skills including an intermediate knowledge in Microsoft Office programs such as Outlook, Excel, and Word required; ERP system experience preferred;
  • Proficient skills in using general office equipment including desktop, telephone, printer, copier, fax, scanner, etc.;
  • Ability to work the core hours of Monday through Friday, 8:00 a.m. to 5:00 p.m. with some overtime expected;
