Title: Accounts Payable Specialist
Reports to: CFO
Full-Time, Hourly with Full Benefit Package

Primary Role: Compute, classify, and record numerical data to keep financial records complete. Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. May also check the accuracy of figures, calculations, and postings pertaining to business transactions.

JOB RESPONSIBILITIES:

  1. Oversee the accounts payable functions within the accounting department.
  2. Assign tasks to the A/P team in line with the accounting department’s goals.
  3. Ensure timely payment of vendor invoices, maximizing discounts and rebates.
  4. Process weekly check runs, ACH, and credit card payments.
  5. Accurately code expenses to the general ledger.Maintain recordkeeping in the document imaging system.
  6. Check for accuracy of statements by processing vendor statements monthly.
  7. Manage all vendor accounts and communications, including new vendor setup.
  8. Track vendor returns and obtain credits.
  9. Handle discrepancies by contacting purchasing with issues between invoice and purchase orders in a timely manner.
  10. Other duties as assigned.

EDUCATION AND EXPERIENCE:

  1. Minimum of 3 years of increasingly responsible Accounts Payable work experience.
  2. College degree preferred but not required.
  3. Proficiency with Microsoft Word and Excel.


JOB REQUIREMENTS:

  1. Basic accounting knowledge to identify expense vs. capital items (prepaid expenses, fixed assets) and accounting period cutoff for expenses.
  2. Maintain confidentiality within the department.
  3. Must demonstrate accuracy in working with detail.
  4. Excellent organization skills.
  5. Begin and complete a project with moderate to no supervision.
  6. Flexibility to change routines.
  7. Can add, subtract, multiply, and divide figures, and calculate amounts such as discounts, interest, and percentages.
  8. Ability to clear all pre-employment testing including drug screen, health screen, and background check.

Accountability: The Accounts Payable Specialist will be accountable to the Chief Financial Officer. Secondary accountability will be to the other management team members, employees and customers of the company.

Travel: No travel required

Physical, Mental and Environmental Requirements:
  1. Employee is required to stand, walk, climb, sit and use hands and fingers.
  2. Some light lifting of objects is required.
  3. Reaching, grasping and carrying activities also required.
  4. The noise level in the work environment is usually moderate.
  5. Although most work is performed inside, occasional outside activities are subject to seasonal temperature fluctuations.
